- It is the intent of The National Institutes of Health (NIH), National Institute of Diabetes and Digestive and Kidney Diseases (NIDDK) to procure the services of the Airlie Conference Center for the NIH/NIDDK Intramural Retreat, from May 7 through May 9, 2003. The following requirements are requested: 1) Meeting rooms must be available from 8:00am till 5:00pm on May 7th, May 8th and May 9th 2003; 2) Must accommodate 150 people with 150 rooms for the nights of May 7th and May 8th 2003; 3) Provide up to 8,200 square feet of meeting space; 4) Must be no longer than a 2 hour drive from the NIH Bethesda Campus; 5) Ability to have the whole facility, to put up posters, have small discussion groups (through out the facility), meeting rooms, etc., without being disturbed by other guests; 6) Provide Dinner for the night of May 7; 3 meals on May 8, and Breakfast and Lunch on May 9; 7) Provide for morning and afternoon breaks; 8) Audio/Visual support - Flip chart, overhead projector, tape recorder, slide projector, data projector, projection screen, VCR & monitor, podium & microphone, pens and pads; 9) On Site dedicated Conference Planner; 10) Full time concierge - providing assistance with faxing, photocopying, e-mail and computer access; 11) Convenient and ample free parking; 12) 24 hour secure facility; 13) Safe usage at front desk; 14) Access to exercise/sporting facilities such as: exercise room, game room, fishing, tennis courts, volleyball, sauna, bicycles, jogging/hiking trails. The Institute intends to procure this facility by other than full and open competition from Airlie Foundation. To the best of the Government's knowledge they are the only source that will provide NIDDK with the use of their whole facility. Interested vendors may identify in writing their interest with a capability statement to the Contracting Office prior to the closing date of this notice. This notice of intent is not a request for competitive proposals, however, all responses received, before the closing date, of this announcement will be considered by the Government. A determination by the Government not to compete this proposed acquisition is based upon responses to this notice and is solely within the discretion of the Government. Information received will be considered solely for the purpose of determining whether to conduct a competitive procurement. It is anticipated that Request for Quotation (RFQ) NIH-NIDDK-03-854 will be available fifteen (15) days after the publication date of this synopsis. This Request for Quote (RFQ) will be issued on November 13, 2002. Receipt of quotations will be due ten (10) days after the release of the RFQ (November 22, 2002). The anticipated award date is December 6, 2002. Request for copies of the RFQ must be in writing and may be FAXED to 301-480-4226. Quotations must be submitted in writing to the National Institute of Diabetes and Digestive and Kidney Diseases 6707 Democracy Blvd., Room 774C, Bethesda, Maryland 20817 Attention: Patricia Haun. FAX quotations must contain offerors names, address, telephone number and fax number. FAX quotations will only be accepted if dated and signed by an authorized company representative.
