- NA Questions and Answers QUESTION 1--Onsite Support. Please clarify the degree of onsite support required of the Contractor. It is assumed the Contractor will work with the hotel staff onsite to ensure the meeting rooms, food and beverage, and audiovisual requirements are handled appropriately and in a timely manner. Will there be additional staff support required for such activities as setting up the registration area onsite, registering participants onsite, handing out meeting materials and name badges, setting up signage and ta ble tents, etc? RESPONSE: Requesting activity staff will provide all onsite support other than hotel staff and catering staff. QUESTION 2--Pre-Conference Registration Requirements. Will any pre-conference registration support be required, such as mailing invitations, sending registration confirmations, answering questions about the conference, preparing of name badges, table tents , signage, and other materials? RESPONSE: REquesting activity will provide all registration support. We will need a dedicated registration area with phone lines. QUESTION 3--Hotel Contract Execution. It is assumed that the Contractor will sign the hotel contract (approved by the Government) with hotel costs passed along to the Government via the Contractor?s invoice. RESPONSE: There is no requirement for subcontracting. The contractor that is awarded the contract as the result of this solicitation will be required to meet the requirement contained in the solicitation in any method proposed. QUESTION 4--Hotel Sleeping Rooms. Aspen understands that the Contractor will reserve the sleeping room block based on numbers provided by the Government for CLIN 001. Will participants pay the hotel directly for their sleeping rooms and incidental expense s, or will the Government pay these costs through the hotel contract agreement? RESPONSE: Attendees will be responsible for their own incidental expenses. The government will pay the sleeping room charges, but must be allowed to reduce number of rooms reserved for those invitees that do not attend. QUESTION 5--Participant Expenses. Will participants be reimbursed directly by the Government for travel (airfare, ground transportation, and parking) and per diem costs (meals and incidental expenses)? RESPONSE: Attendees will be reimbursed for travel expenses. The Hotel contract will cover meals and sleeping rooms and meeting rooms/AV support/ QUESTION 6--Shuttle Service and Parking Availability. How many participants are anticipated to need parking facilities during the conference? RESPONSE: Approximately 30 overnight, 20 day parking spaces are estimated. However, the contractor shall be prepared to provide as many parking spaces as necessary in suppport of conference activity. QUESTION 7-Who is the target audience? RESPONSE: The target audience are key leadership volunteer Employer Support of the Guard and Reserve State Committee members. QUESTION 8--How and/or have they already been notified? REPSONSE: Prospective attendees and aprticipants have been issued invitational travel orders by the requesting activity under the authority of the Secretary of the Army. QUESTION 9--Is the conference mandatory for the participants? RESPONSE: The attendees are volunteers, they are not required to attend. However key leadership volunteers are expected to attend. QUESTION 10--Has this conference been held before? RESPONSE: The requesting activity hosts annual leadership/planning conferences. QUESTION 11--Do participants qualify for federal sleeping room rates? RESPONSE: Participants do qualify for DoD established per diem sleeping room rates. QUESTION 12-- Usually less sleeping rooms are blocked than there are participants due to some people sharing rooms. Are you sure of the 250 rooms for Nov. 15 & 16? RESPONSE: The 250 rooms are for the maximum number of participants invited. Attendees are not required to share rooms, however sometimes they bring family members at their own expense and may share a room with them at no additional cost to the government. QUESTION 13 (a) through (e)--Food and beverage: (a) Breakfasts - Full or continental? RESPONSE: Full buffet in break-out area. (b)Lunches - Box, buffet, sit-down served? REPSONSE: Hot lunch served. (c)Dinner - Buffet or served? Will there be a head tabl e? Any speakers or presentations? RESPONSE: Hot Dinner served (d). Dinner on Sunday? Are you having two dinners, one Saturday and one Sunday? REPSONES: Dinner Friday 14 November 2002 and Saturday 15 November 2002. (e) Reception - What time? How lo ng? Serving alcohol? Cash bar? Finger food? RESPONSE: Reception Friday night 14 November 2002 with finger foods. Cash bar. QUESTION 14-Will you need conference registration services, name badges, conference materials handed out, etc.? REPSONSE: Requesting activity (government and/or military personnel) will oversee conference registration.
