- National Cemetery Administration Conference Portland, Oregon The Conference and Contract Section of the Department of Justice is in need of conference services for June 15-20, 2003, June 22-27, 2003 or preferably August 3-8 or 10-15, 2003 in Portland, Oregon. Vendors that wish to bid on this requirement must be able to accommodate sleeping rooms and meeting space in the same facility. The following are the requirements: 1. Sleeping Rooms Two hundred sleeping rooms each night are required for the night before the conference and the nights of the conference. Each conference attendee will call the hotel and make their own reservations and secure the reservation on their own credit card. Vendor must provide the cut off date that reservations must be made by. 2. Meeting Facilities The general session will be held from 8:00 a.m. to 5:00 p.m. for 200 people. The requirements for the general session include classroom seating for 200 and theater seating for 20. We will need some breakouts to be determined at a later date. Six breakout rooms will re required to accommodate 50 30 people each. 3. Catering AM Snack (7:30 a.m.) - coffee, muffins, pastries, bagels (200 People) PM Snack (3:00 p.m.)- Cookies, brownies, sodas, coffee (200 People) 4. Audiovisual Two projection screens for the general session, podium with microphone, one wireless microphone are required from the hotel. DOJ will provide two LCD projectors. 5. Evaluation Criteria The government will award a contract resulting from this Request for Quotation to the responsible quoter whose quote represents the best value to the government considering the offer most advantageous to the government, the price, location and availability of rooms. Prospective vendors are to submit a quote that include a written proposal addressing all of the services, proposed menus, types of accommodations and equipment to be provided. Proposals are to be priced under the following topics, which include total and itemized rates/prices, quantities: Lodging, Catering, Meeting Facilities, and Audiovisual. The requirement will be procured in accordance with FAR Subpart 12.6, Subpart 13.106 and Subpart 13.5 . FAR 52.212-3, Offeror Representations and Certifications-Commercial Items, must be completed and included with any and all quotes submitted in response to this Request for Quotations. FAR Clauses 52.212-4, Contract Terms and Conditions-Commercial Items is hereby incorporated by reference. The Clause at 52.212-5, Contract Terms and Conditions Required to Implement Statutes or Executive Orders-Commercial Items is hereby incorporated by reference. All referenced FAR clauses may be copied at www.arnet.gov/far. Services under this RFQ must comply with the following Section 508 Accessibility Standards: Vendor site must comply with all federal and state laws and regulations required for occupancy by government employees (ADA accessibility statement and FEMA citation number). No telephonic responses will be accepted. Quotations are due on January 14, 2003 by 5:00 P.M. Oral quotations will not be accepted.
