QUESTIONS AND ANSWERS 1. LOGO - Do we submit design concepts for approval? YES If so what is the timing? ENOUGH TIME TO GET IT APPROVED AND MATERIALS CREATED AND SENT It would be nice to provide 3 design options and have you chose one. Is this logo for 2004 use only or will it be used in future years? 3 LOGOS ARE NOT NECESSARY TEE-SHIRT WITH CUSTOM LOGO MUST INCORPORATE A RED, WHITE AND BLUE THEME. THE LOGO WILL APPEAR ON THE FRONT OF THE TEE SHIRT IN FULL SIZE "Logo elements must incorporate one of the following phrases Air Force Kids Run, USAF Kids Run, or Armed Services Kids Run and may incorporate some or all of the following: (1) a patriotic theme such as US flag or stars, (2) youth ages 5-12 running (depictions of real youth must include both sexes and be multicultural OR generic youth may be used such as stick figures), and/or (3) running event items such as running shoes, start/finish banner, course layout track, etc." 2. WEB SITE - · Do you have a URL address for the program? THE SOLICITATION REQUIRES THE VENDOR TO HOST A WEBSITE · Should the web site include a basic information site with a uniform application? THE WEBSITE MUST ALLOW FOR ON-LINE REGISTRATION AND THE ABILITY TO RUN A 'REPORT' WITH EACH BASES ROSTER OF YOUTH RUNNERS. Or should each base have its own page within the main site? If each site has its own page we will need specific information on each location. · Are you seeking a site that is an interactive experience? YES, THE PARENTS MUST BE ABLE TO REGISTER ON-LINE · Will you need paper applications as well? NO 3. POSTER - Is there a specific size? MARKETING POSTERS AND DIRECTIONAL SIGNS SHOULD BE NOT SMALL THAN 8.5" X 11" AND NOT LARGER THAN 11" X 17". EITHER SIZE WILL SUFFICE. MARKETING POSTER: POSTER WILL INCORPORATE THE CUSTOM LOGO AND WILL LEAVE A SECTION ON THE POSTER FOR LOCAL DATE, TIME AND PLACE OF EVENT. 4. SIGNAGE - Are the 40 directional signs the same for each base?YES Size? NOT LESS THAN 8.5 x 11 Will they be staked? NO Do the bases need stakes included in bid?NO Hung? Or attached in another way? Is the plan to reuse or toss signs? THE SIGN KITS WITH THE 40 COURSE LAYOUT SIGNS SHOULD BE WEATHERPROOF STOCK. THE KIT SHOULD CONSIST OF SIGNS 8 1/2 BY 11 1/2: 2 EA START, 2 EA FINISH, 2 EA REGISTRATION CHECK-IN, 2 EA T-SHIRTS, 2 EA 7 AND 8 TURN AROUND, 2 EA 5 AND 6 TURN AROUND, 2 EA 1/2 TURN AROUND, 2 EA TURN AROUND (WITH ARROW), 1 EA 1 (1 MILE), 1 EA MILE TO GO, 12 EA SIGN WITH STRAIGHT ARROW, 2 EA WATER STATION AHEAD, 8 EA CAUTION RUNNERS ON THE ROAD · Do the races go rain or shine? YES · Should the start/finish banner have grommets? YES THE START AND FINISH BANNERS ARE TO BE DOUBLE SIDED 10' X 32' WITH A POLE POCKET ALONG THE TOP SIDE. FRAMEWORK WILL BE INCLUDED OF 2 EA LIGHTWEIGHT ALUMINUM OR PCP 10' POLES AND 10' CROSSBAR 5. Shipping - It would be less expensive to have the major items shipped direct from the sources which translates into each base receiving 3 shipments. The RFP requires one single shipment-Is there flexibility if it saves money?NO . THIS EVENT MUST BE AN “EVENT IN A BOX” CONTAINING ALL MATERIALS FOR THE RACE 6. Racing Numbers - · Should the logo be included or just the number? RACE NUMBERS SHOULD BE 3 DIFFERENT COLORS REPRESENTING THE 3 DIFFERENT AGE DIVISIONS 5&6 YEAR OLDS (RUN 1/2 MILE); 7 & 8 YEAR OLDS (RUN 1 MILE); 9 & UP (RUN 2 MILES) · Are the numbers sequential for each base 1-116 for each base or should the numbers run 1-9420 with each base receiving 116 numbers? SEQUENTIAL AT EACH BASE, STARTING WITH 1 AT EACH BASE · Does each base receive the same amount of numbers? NO, IT IS BASED ON THE NUMBER OF REGISTRATION NOT TO EXCEED THE NUMBER ESTIMATED FOR EACH BASE 7. T Shirts - · Is there a preference? 50/50 cotton/polyester or 100% cotton? 50/50 COTTON/POLYESTER · States youth size-Is there a size breakdown/ do we ship assortment or all youth large? SIZES WILL BE PREDETERMINED FOR EACH BASE A SPREADSHEET WITH THE ESTIMATED NUMBER OF YOUTHS PER BASE WILL BE PROVIDED BY EMAIL TO EACH RESPONDENT
