Description
This is a combined synopsis/solicitation for commercial items prepared in accordance with the format in Subpart 12.6, as supplemented with additional information included in this notice. This announcement constitutes the only solicitation; proposals are being requested and a written solicitation will not be issued. The proposed contract is 100% set aside for small business concerns Original Statement of Work BLDG 210 Conference Room Objective: To provide a Conference Room in Building 210, 2nd floor, which will accommodate up to 14 persons at the conference room table and provide stadium style seating at the rear of the room. The room shall provide the following capabilities: 1. Capability to display computer presentations on a ceiling mounted projector from a main stationary computer (video and audio) located at the podium 2. Capability to show computer presentation from a separate laptop connection, (video and audio), as necessary from the podium and a separate auxiliary jack located in the podium to display computer (video and audio) and either S-Video or RCA (video and au dio). 3. Room will require two auxiliary jacks in the wall, preferably one near the head of the conference room table and the other near the foot of the conference room table, which can accommodate connection for a laptop computer connection (video and audio), a nd Rca (video and audio) for connection of a moveable document camera or other audio video device. 4. Room will require desktop video capability with ability to show any Audio video source (video and audio) through the desktop video to the far-end sites. 5. Room will require sufficient number of microphones in order to accommodate all customers sitting at conference room table and podium. Require at least two wireless microphones for roaming presenter. All microphones shall have individual on or off swit ches and a master mute from the room system. 6. Conference room audio system must accommodate the following audio connections: podium computer, podium laptop computer, Vcr, Dvd, desktop videoconferencing, table microphones, podium microphones, roaming microphones, auxiliary wall jacks accommodating l aptop audio and RCA audio connection, and audio add-on capability from a standard telephone jack. 7. Speaker system must be able to produce stereo sound and have the ability to be a two-way system, detect sound from microphones and reduce the audio appropriate for the zone or area. 8. The master room control system must be easy to control, user friendly, and have the ability to switch between all available inputs and resources. 9. Room system has to be able to control most if not all equipment in conference room using a touch screen controller, one at the conference room table and one at the podium. 10. Room shall be capable of switching audio and video (audio follows the video when necessary) between the following sources: desktop videoconferencing, scan converter, podium computer, podium laptop computer, Vcr, Dvd, auxiliary wall jacks accommodating laptop Vga and either S-Video or Rca video. 11. All video sources must be able to be displayed on the ceiling mounted video projector. 12. All audio sources must be able to be heard on the ceiling mounted speakers. Constraints: Recommended equipment must have interoperability with equipment currently in the room. Existing equipment includes the following: Sony Overhead Projector Vpl cx6; Polycom ViewStation 512 Desktop Video Codec; Triple Nt 1 Termination Device; Polycom Vortex with Noise Canceller with Phone Add ef221; Dell Personal Computer and Lcd monitor. Current conference room is equipped with an executive conference room table and chairs, with all table sections bolted together to form a Horse Shoe design and cannot be easily moved. A glass cover protects the conference room table surface. All equipment racks and or furniture that is to be pur chased to house equipment or other media needs to be aesthetically compatible with existing furniture located in conference room and shall be approved by the government Poc before purchase. Additional Requirements: Contractor shall provide a detailed diagram of the proposed equipment depicting how it will connect and interoperate. A rough draft of the proposed conference room shall be provided before installation and a final detailed copy shall be provided after fina l installation. Contractor shall include cost of follow-on maintenance if changes are required in the touch screen control panel. Contractor shall provide training for the facilitators and technical support personnel of the conference room to ensure their understanding of how the room is to be controlled and operated, as well as instruction on minor troubleshooting. Contractor shall provide all relevant documentation of user manuals and original equipment manuals. Contractor shall price both wireless and wired microphones for the conference table. Appearance of wiring and cables should be minimized to the greatest extent possible. Clarifications and additions of March 4, 2004 1. Required microphones shall include 6 wired low profile microphones for the conference room table and 3 wired gooseneck microphones (2 for the head of the table and 1 for the podium). 2. Required podium, compatible with existing room furniture, must be capable of accommodating a computer with the following dimensions 19.3inchH x 8.7inch W x 19.2inch D (not including cords), and a 19inch flat screen Lcd monitor. Podium shall also have a pull-out shelf to support a document camera and have access panels or doors allowing access to the back of equipment to be housed in it. This furniture piece shall be aesthetically compatible with existing furniture in the conference room, with final a pproval by government Poc prior to purchase. 3. Credenza, compatible with existing room furniture, which shall be capable of accommodating the audio-visual equipment specified in the Statement of Work and some additional supplies (i.e., coffee maker, cups, napkins). This furniture piece shall be ae sthetically compatible with existing furniture in the conference room, with final approval by government Ppc prior to purchase. 4. Provide and install a wooden wall-mounted shelf, to hold the Polycom ViewStation 512 Video Codec. Clarifications and additions of April 6, 2004 Contractor shall provide immediate technical phone service within one hour. Contractor shall provide emergency on-site repair within four hours.
