- This is to provide Notice of Intent to Award on a sole source basis services to support the HQ USAF/HC Air Force Wing Chaplain/NCOIC Conference 30 October 2004 ? 05 November 2004 in Washington DC. SCOPE OF WORK: The contractor shall provide approximately 1139 room nights (accommodations for 300 attendees), 54 meeting rooms, including 1 banquet room, 1 luncheon room, 3 reception rooms and 1 office over a span of six consecutive days/nights, at designated time periods. The contractor shall provide audio/visual services for the conference, including the necessary equipment and technical assistance. 1.2 Task Description: The contractor shall provide, but is not limited to, the following tasks: Daily written reports beginning 10/31/2004 and concluding 11/05/2004 of any problems/concerns/information that would hinder the success of the Air Force Wing Chaplain/NCOIC Conference or the accommodation and safety of the conference attendees to the project officer; Shuttle services to and from Ronald Reagan, Dulles International, Baltimore/Washington International Airports and Union station metro stop at no cost to attendees; Minimum of 6 keys to the meeting rooms; Access to copier, supplies and printer facilities; Water stations in all meeting rooms during designated time periods; Access to recreational services with no additional cost to attendees; Easels for displays; On-Site restaurant; As part of the conference fee contractor will provide refreshments and food services. 1.3 Deliverables: The contractor shall accomplish all deliverables in accordance with the best commercial practices and must meet professional standards. Essential technical and other support services shall be provided for all deliverables. The contractor shall monitor the services and support provided to HQ Chaplain Service Wing Chaplain/NCOIC Conference. 1.3.1 Room Accommodations to include but not limited to: One (1) complimentary unit for fifty-revenue producing guest room nights occupied by the Group on a cumulative basis; Total room-nights blocked: 1,139 room-nights: 10/30/04, 04 rooms; 10/31/04, 95 rooms; 11/01/04, 270 rooms; 11/02/04, 250 rooms; 11/03/04, 250 rooms; 11/04/04, 250 rooms; 11/05/04, 20 rooms; 54 meeting spaces including a conference luncheon, social, banquet, general sessions and office; 4 validated automobile parking spots for each staff support member each day of convention (approximate number of staff members, 20 );1.3.2 Audio Visual Requirements: The contractor shall provide personnel with expertise and qualifications in the following areas: Audio/visual/multimedia on-site technician with exceptional trouble shooting skills; MS Windows XP Professional 2002, printers, computers, and business center services; Audiovisual equipment; 4-head VCR; Tripod projection screen; Podium microphones; Table microphones; Handheld microphones; Lapel microphones; Shure wireless Microphone System; Rear screen projector with video playback; 9ft x 12ft Fast Fold Screens; Laptop Computers with top of the line multi-media capabilities. 1.4 Criteria for Acceptance: The USAF Chief of Chaplains or his designated representative will evaluate the proposed services to be provided by the contractor prior to acceptance. The Government representative will provide comments and requested changes and the contractor shall provide service in accordance with best commercial practices. 1.5 Functional Skills. Contractor shall have expertise in: Hotel management/execution of large conferences and Hotel hospitality. Contractor must have the ability to take a Government VISA card as payment from each occupant. The Government proposes to award a contract for support of the HQ USAF/HC Air Force Wing Chaplain/NCOIC Conference 30 October 2004 ? 05 November 2004 in Washington DC to the Hyatt Regency Capitol Hill, Washington DC under Purchase Request number FH330042370100. No request for proposals will be issued. Statements of interest are due by close of business (6:00 pm Central time) on 28 September 2004. Electronic submissions are acceptable.
