Description
This is a combined synopsis/solicitation for commercial items prepared in accordance with the format in Subpart 12.6, as supplemented with additional information included in this notice. This announcement constitutes the only solicitation. This is a Request for Quotation (RFQ) FDA-SOL-05-00028; a written solicitation will not be issued. The Food and Drug is soliciting for the rental of conference room space for the 2005 11th Annual FDA Science Forum and Scientific Achievement Awards Program on April 26-28, 2005. This procurement is firm fixed price requirement. SCOPE OF WORK- Specific requirements for this annual forum are to have a facility that is: 1. Located in Washington, DC in close proximity to the federal workforce of the Washington area and no more than thirty (30) miles from the Rockville FDA offices: must be located near a major airport for speakers, field employees, and outside stakeholders; must be located on or near a Metro stop (up to two blocks away) for ease of transportation and accessibility; must be located near a hotel (up to two blocks away) for lodging with in the per diem threshold rate for that area. (2). The facility will be used for two (2) full days and one (1) day for set-up; must provide a room (with dimensions of at least 15,000 sq ft) with riser/stage area, two (2) large screen exhibits, and seating for 2000 for plenary, general session, and achievement award ceremony (a minimum of 16, 000 sq ft); must provide five (5) additional rooms with riser/stage area, two (2) large screen exhibits, and seating for 400 in each of the simultaneous break-out session; must provide an additional large exhibit hall (with dimensions of at least 100,000 square feet) for a full exposition including over 300 scientific poster exhibits, 100 vendor exhibits, seating for 1000 throughout the room and full food service area; must provide an additional five (5) small meeting rooms for FDA office, cosponsor office, speaker ready room, press office, and audiovisual storage; must provide a large receiving area or pre-function room with dimensions of a at least 15,000 square feet) for full registration set-up and reception; multiple restroom facilities will be required to allow for breaks throughout the day. (3). The facility must provide all items listed in #5 as close as possible (no more than 2-3 floors apart) to allow for the greatest opportunity of networking among attendees and to allow for ease of transition of 2000 attendees between each session in a timely manner. (4).The facility must be handicapped accessible. (5). The facility must offer full catering service to accommodate 2000 attendees and can serve all food and beverage in the exposition hall with seating. (6). the facility must have adequate lighting, sound and speaker, technological capabilities for sound systems, web casting, and general audiovisual requirements. (7). The facility must ensure a secure and lockable environment for all meeting, office, equipment storage rooms, areas including the exposition hall where valuable research data will be on display and the open registration reception area. (8). the facility must have pleasant surrounding and areas that will give attendees a variety of activities, including physical activity and relaxation, after the daily activities of the conference. (9). the facility must accommodate all of these requirements as part of one package. Interested offeror?s shall submit a descriptive literature along with their cost quotation. Award will be made to the vendor who submits the lowest price that meets all specifications and requirements. The Government may make its decision on the basis of initial quotations received and not have discussions. Therefore each initial quotation should contain the offeror?s best terms from both a price and technical standpoint. This is Request for Quotation (RFQ).
