- The United States Patent and Trademark Office (USPTO) is seeking sources for Conference Space and Services for the Tyson?s Corner, VA for March 27-28, 2006 for the USPTO?s Conference on Intellectual Property in the Global Marketplace. The anticipated attendance is 260 persons including attendees, speakers and support staff. Hotel room for one U.S. Government employee for 2 nights are required for check-in on March 26, 2006 with check-out on March 28, 2006. The hotel rooms will not be charged to the USPTO?s master account, but will be paid by individual?s government travel card. The USPTO requires the following event space: Classroom Style Room: A space which will accommodate 250 people in a classroom style. The space may be required for Sunday, March 26, 2006, for A/V setup, and will be required for the actual conference Monday, March 27, and Tuesday, March 28, 2006, from 8:00 am ? 5:00 pm. The room does not need to be reserved the entire day on Sunday, March 26, 2006, for the AV setup but adequate time is required. The room should be large enough for attendee seating, an A/V worktable in back, platform for videotape camera, and a dais in the front of the room with room for a podium and possibly for a table for four people for panel discussions. Break Out Room(s) Space to hold one-on-one consultations that occur on March 27, from 3:00 pm to 5:00 pm and on March 28, from 2:00 pm to 5:00 pm. The space should be able to accommodate 4 round tables with 4 chairs at each table and should be able to be spaced far enough apart so that a group at one table does not disturb a group at another table. If this requirement can be accommodated in the main conference room (with some reconfiguration), that is acceptable. Press Room ? A space (theater seating) which will accommodate at least 12 people for March 27, 2006, from 8:00am ? 2:00pm, with a head table with 3 chairs. Room must have telephone local calling access. Refreshments for Breaks - The USPTO requires setup for two breaks which both will be held in the morning. Morning breaks would consist of an al la carte menu items such as coffee, juice, soda, danish, bagels, etc. Audio/Visual The USPTO IPAC events require an array of audiovisual equipment and support. Aside from the equipment, we will need personnel to set up the site, be on-site throughout the two-day event to run the equipment and trouble shoot any problems which might arise during the conference, videotape selected presentations, take down the site after the conference, and have adequate off-site facilities for post-conference production to include editing and conforming videotaped presentations to individual educational modules for future training use. It is anticipated that the audiovisual equipment may need to be set up on Sunday, March 26, 2006. Responses: If any hotel firm believes it is capable of meeting the USPTO?s requirements, a detailed capabilities statement must be submitted to include information that clearly demonstrates their ability to meet the USPTO?s needs.
