Solicitation #HSBP1006R9626 is hereby amended to list all technical questions received and their responses listed below: Questions and Answers for Solicitation HSBP10069626 1. What Documentum software modules (and how many sets) were purchased? Please provide a complete list - for example: Content Server, Documentum Administrator, Collaboration Services, etc. Documentum 5.2.5, Content Server, Administrator, Input-Accel Capture Basic, Oracle 10g, Desktop/Webtop Client. 2. Is the version just 5.2.5? Or 5.2.5 with service packs? We have a current CSA so 5.3 is available to deploy if recommended. 3. Is there a reason you are not installing the newest version 5.3 See Above. 4. Is the database a stand-alone server? The Oracle DB will be on it?s own server. 5. What version of Oracle? 10g Standard Ed. 6. Is there a DBA on site to help with any database questions? No, you must provide Oracle expertise to install, configure, the db, then train the BP staff to admin the Oracle instance. 7. Is Oracle already installed? Will we have to install it and/or create an instance just for Documentum? No, see above. 8. Why two file servers? Development and Production? One holds the Documentum app, admin, etc., the other will hold the Oracle instance. 9. Does it have to be configured to be multilingual (Spanish and English) No 10. Do we have to develop a scanning solution or do they have one established? We are using Canon Mfu?s, model?s iR6000 & ir5000 along with Adobe Standard 6.0 and Input-Accell Capture Basic. We need the vendor to configure and install the scanning solution. 11. If so, what equipment and software is currently being used? Need the exact model(s) of scanner, and manufacturer / version # of software to determine if it is already Documentum compatible, or if new hardware/software is required. See Above. 12. Is the data that is being scanned in a particular format (structured?) May be Word documents, jpeg?s, bmp?s, tif?s, gif?s, etc. 13. Are forms handwritten or typed? Typed/Created in Word by a hand written signature must be captured as part of the document. 14. What type of authentication (LDAP, Active Directory)? None of the above. Simple Windows Workgroup & Documentum authentication. 15. Are there any special kind of workflows, document types, or other known requirements for the system? The single Document type listed in the Statement of Work posted on FedBiz. 16. Does completion within 45 days after award mean calendar or business days? Calendar days. 17. Regarding this solicitation, Documentum has multiple products version at 5.25. Is this for ApplicationXtender version 5.25, D5 version 5.25, eRoom version 5.25 or another product in their product line? Please explain. Documentum 5.2.5; Content Rendition Services, Administrator; Developer Studio; Desktop/Webtop client. 18. Exactly which "pieces" of Documentum software have been purchased and what versions? Documentum 5.2.5, Content Rendition Services, Doc Admin, Input-Accel Capture Basic, Desktop/Webtop Client, Oracle 10g Standard Ed. 16. Are you open to additional purchases, if they make sense? (i.e. or do we have to work with what DHS presently has?) Answer will be based on your recommendation in your proposal. 17. Install and configure Documentum integrated into an Oracle database, running on 2- previously configured Windows 2003 servers' Does this mean that Oracle is already installed? What version? Which extensions? No, The vendor will install, configure, Oracle 10g, integrate it into Documentum, & train BP admin staff to maintain, backup the instance. Extentions=unknown. 18. Has all the hardware been procured or is that part of this effort as well? All hardware is onsite. If it is recommeded that additional hardware is needed, please state it in yoour proposal. 19. Is the scanner now set up as a scan workstation. If so what scanning solution is in use or has been chosen?(i.e. Kofax, Captiva, etc] No. We are relying on the vendor to install anc configure the scanning solution. Input Accel Capture Basic & Adobe Standard 6.0. 20. Does anyone in the El Paso office currently have any experience with Documentum (i.e. Windows administrators, Oracle DBAs)? 1 admin trained on Documentum Tech. Fundamentals & Sys Admin I, one year ago. No Oracle expertise beyond basic skills. 11. Will there be any problem giving us "total" administrator access to the Documentum system and every document within it? (this is critical to the install, configuration, testing, and support of the software) During the installation, prior to cutover, no problem. There will be no access once the system has been cutover, without escort. Unaccompanied access may require a successful completion of a BI investigation. 12.Will we have any sort of test environment in which to test before "rolling" to production? Is this 'test bed' hardware, etc. currently on hand? No. 13. Is there an existing object model? No. 14. Will there be any custom attributes (I assume so) and if so, are they already defined? If you mean ?doctypes? then there is only one. Each ?doctype? may have several ?attributes.? 15. Has all the hardware - including the scanner, been "certified" to work/function appropriately with the Documentum software? ?Certified,? No. Do we know that all hardware will work with the system, Yes. 16. Do we have to install Documentum 5.2.5 or can we possibly install 5.3 (to lengthen the time before the next required upgrade ) v5.2.5 may soon be on the "not to be supported" list? We have a current CSA for Documentum & Oracle so 5.3 is available and deployable based upon your recommendations. 17. If software patches and or version upgrades to Oracle and/or Windows are required, will this be the duty of DHS? Documentum & Oracle are the responsibility of the vendor during the installation phase prior to cutover, current CSA?s are maintained on Documentum & Oracle to acquire any needed updates, patches, etc. Windows W2K3 is the responsibility of the BP IT admin staff. What other products/modules of EMC Documentum have been purchased for installation? Is the software for installation Documentum AX release 5.2.5 or a D5 product? Content Rendition Services, D5. 19. What other products need to be installed in conjunction with Documentum? Example: What Front-end capture product is being used to capture the subject line and sector file number? Content Server, Administrator, Developer Studio, Input-Accel Capture Basic. Inut-Accel. 20.Will training be done at the sites of the 54 users or will it be done centrally in a classroom setting? If it is classroom setting, how many will attend each session? EU Training will be conducted at BP Sector HQ, centrally. 21.Will the Vendor be responsible for deploying the application on each of the 54 users' local computers? If you mean the client, then only the first few, after that BP IT Staff will deploy the rest. 22. Are all 54 users on the same network? If so, please describe the network environment? 15 are on a LAN consisting of several segments, the remainder are on a robust WAN/Intranet. 23.What type of client access is used or preferred, Thin Client or Thick Client? Initially the Desktop client was spec?d out, however; we are open to using the Webtop client and we understand that the licenses are interchangeable. We purchased 54 Desktop client licenses. 24. Will documents be scanned remotely at the 54 user sites or will they be scanned at a central location or will it be a combination of some remote and central? Central for the scope of this phase. 25. What type of security is required: NT Security, ADS, or Application or a combination of application and one of the previous methods? NT (non-AD), & Documentum. 26. What does your preliminary hardware configuration consist of considering that you will have two servers available to install on? Is Oracle onone server and images on the other or some other configuration? Will vendor be allowed to recommend a configuration that is more suitable for Documentum? One Server will hold the Oracle instance, the other, Documentum and all other parts. Yes. 27. What release of Oracle will be used? 10g Standard Ed. 28. The proposal states "the documents will be scanned with an available Twain-compliant scanner". Are you planning to use any capture software such as EMC/Captiva InputAccel or Kofax Ascent Capture? Yes. We have licenses for Input/Accel Capture Basic. 29. Will DHS install and configure baseline infrastructure such Oracle Database and Windows 2003 OS? BP IT staff will prep 2 servers with W2K3 only. Documentum and Oracle are part of the services requested from you. 30. Is DHS planning to host Documentum clients (Webtop and DA) under Tomcat OR other servlet containers such as 10g AS, Weblogic, etc? Unknown. Originally, we want to rollout the Desktop Client. Webtop Client may have some benefits, so we are open to your suggestions. 31. What level of documentation is expected in this engagement? We request you submit a proposal with daily/weekly details. 32. What version of Oracle are you running? 10g 33. What scanner are you planning to use? Please provide brand name and model number. Canon iR6000 34. Will Windows 2003 be loaded with the latest patches? Yes 35. How will a typical user's machine be configured? W2k,Desktop Client To what level will users be authenticated? To the application level, a folder level or to the document level? Application, Group, Folder , Document 36. Do you anticipate that customization will be required or will the Documentum interface meet your needs ?out of the box?? No Customization 37. Do you have standard interface requirements that the Documentum interface must to adhere to? MS Windows, as user friendly as possible 38. Are there any special backup requirements that the software must to adhere to? must be able to backup Documentum & Oracle (FULL BACKUP) 39. In what format must the ?non-PDF? images be stored? (.jpeg, .tif, .bmp..etc.) jpeg, .bmp, .gif, .doc, .xls, etc. 40. Is the 45-day project completion timeframe considered to be calendar days or business days? Calendar days.
