- The Drug Enforcement Administration (DEA) has a requirement for services related to hosting the twenty-fourth International Drug Enforcement Conference (IDEC). The conference will be held May 3-12, 2006 in the Montreal, Canada. This is anticipated to be a sole source purchase order award to Hilton Montreal Bonaventure, Montreal, Quebec, Canada under the test program described in the Federal Acquisition Regulation (FAR), Subpart 13.5, and under authority 41 U.S.C. 253 (c)(1) as implemented by FAR 6.302-1. A solicitation will not be issued. The hotel shall make available 270 sleeping rooms, May 3-12, 2006. The hotel shall provide the DEA, 1 secretariat room, 24 hours a day, May 3-12, 2006. The room shall accommodate tables and chairs for 8-10 computers and 6 printers. The hotel shall include additional tables on periphery of room for materials; electrical outlets and connection for 2 international phone lines and 2 international fax machines, and 2 house phones. The hotel shall provide internet access connection. The hotel shall provide a room for 2 high-volume photocopiers. The hotel shall provide tables in the center of the room for compiling materials. The hotel shall provide a registration area on May 7-8, 2006. The registration area shall be set up with 2 stations with tables and chairs at each station with multiple electrical outlets. The hotel shall provide 6 breakout rooms. Three rooms shall accommodate 20 people and three rooms shall accommodate 30 people. The table shall be set up on May 9-12, 2006 with hollow squares in the middle of the table. The hotel shall provide two of the breakout rooms for a translation booth. The hotel shall provide one meeting room for 80 people on May 8, 2006. The room shall be classroom style. The hotel shall provide a press work room on May 9-12, 2006. The hotel shall provide a hospitality suite on May 8-11, 2006. The hospitality suite shall be set-up on May 7, 2006. The hotel shall provide storage room on May 3-12, 2006. The hotel shall provide a room for a sidebar breakfast and lunch for approximately 10 people. The hotel shall provide a main ballroom for general session for approximately 270 participates. The room shall be approximately 6800 square feet and shall be set-up on May 7, 2006: The room shall be set-up school room style for 270 people: head table, area for press and quests at opening ceremony, area for two translation booths for simultaneous translators, and space for color guard entrance during opening ceremony. The room shall be set-up on May 7-12, 2006. The hotel shall provide a workroom for computer workstations on May 9-12, 2006. The workroom shall be set-up with tables and chairs for 4 computers and 2 printers, and internet access capability. The hotel shall provide a room for a Trade Show, May 8-10, 2006. The room shall be set-up to accommodate approximately 30 vendors with large displays. The hotel shall provide the room with close proximity to the registration area. The hotel shall provide a standing reception on May 9, 2006 to accommodate 300-400 people. The hotel shall provide all audio-visual equipment, May 3-12, 2006. The following room shall be set-up: May 3-12, 2006, Fundy room, 6 desktop computers, laser b/w printers, 2 copying machines (one 60 copies/minute, double-sided, stapler, and sort; 30 copies/minute, double, stapler, sort). The hotel shall set up the Fundy room 8:30 a.m. on May 3, 2006; May 6-12, 2006, St. Pierre room, 2 desktop computers, 1 laser b/w printer, and 2 internet computers; May 7-11, 2006, Westmount/Outremont room, this room shall have a head table to accommodate 6 chairs in front of the assembly. The tables and chairs shall be set up classroom style for 180 people (9 chairs per table and 4 sets of table in each row). Rows of chairs only shall be set up behind the rows of tables and chairs. The hotel shall provide the following equipment for the Westmount/Outremont room, 4 projector screens (appropriate to room size), 4 projectors, 2 laptop projectors, 1 plasma screen for head table, taping/preparing a DVD of all sessions held in plenary/main ballroom. DVD taping shall not include working group sessions. The projection screens shall have the capability of showing two presentations on screens (PowerPoint in two languages); Lachine/Lasalle room, May 8, 2006, 9:00 am ? 3:00 pm, classroom style to accommodate 80 people. The hotel provide the following equipment for the Lachine/Lasalle room, 1 projector and screen, and lectern and microphone; Verdun/Lachne/Lasalle room, May 9, 2006, 3:30 pm ? 5:30 pm, this room shall have equipment for simultaneous interpretation Russian and English, set-up for 100 people, microphones, and 1 projection screen and 1 projector. The hotel shall provide May 10, 2006, 10:30 am ? 5:00 p.m. and May 11, 2006, 8:00 am ? 10:30 am, simultaneous interpretation booths and microphones in the Lasalle room (Spanish-English), 12 microphones; Cote St. Luc (Russian-English), 12 microphones, 7 projection screens and 7 projectors for each working group (total of 7 working groups), and a laptop computer for each working group. The hotel shall provide one audio visual technician. Proposal is due 04/14/2006.
