- This is a combined synopsis/solicitation for commercial items. This announcement constitutes the only solicitation; proposals are being requested and a written solicitation will not be issued. Annual HEP/CAMP Directors Meeting - February 12-15, 2007 (Washington, DC) The Department of Education (ED) seeks to procure for the Office of Migrant Education (OME), located in the Office of Elementary and Secondary Education (OESE), the service of a hotel in Washington, DC during the period February 12, 2007 through February 15, 2007 to provide a block of sleeping rooms, plenary and breakout meeting space, audio visual equipment and selected miscellaneous support for the OME Annual Meeting for HEP and CAMP Directors. Approximately 160 persons will be attending sessions daily on site for the meeting. Specific service requirements for meeting are: a) Meeting hotel in Washington, DC that meets the government rate for lodging cost (to be reserved and paid directly by travelers), has a full meal service restaurant on the premises, and is within two blocks of Metro access; b) Hold a block of 150 lodging rooms for individual participants to book their accommodations by a specified date, with lodging beginning the night of February 12, 2007, of which approximately 100 rooms will be vacated on February 15, 2007, and the remaining rooms will be vacated on February 16, 2007; c) One plenary meeting room is required on the afternoon (1:00 p.m. to 5:30 p.m.) of February 13, 2007; one plenary meeting room is required on the morning (7:30 a.m. to 10:45 a.m.) of February 14, 2007; and one plenary meeting room is required on the morning (8:00 a.m. to 9:30 a.m.) and again at midday (11:45 - 2:30 p.m. for closing) of February 15, 2007, which must seat up to 160 participants in half-rounds (crescents) style, with a podium microphone and a wireless microphone; d) Three breakout rooms for two days: February 14th, from 10:45 to 5:00 p.m.; and February 15th from 9:00 a.m. to 12:00 p.m. that would accommodate up to 60 persons each in a classroom setting; e) One large screen for the plenary room on February 13th, 14th, and 15th; three breakout-rooms with three screens on February 14th and 15th; 1 audio-visual cart with extension cord in the plenary room on February 13th, 14th, and 15th and 3 audio-visual carts with extension cords in three breakout-rooms on February 14th and 15th; three podiums with microphones in three breakout rooms on February 14th and 15th, one LCD projector in the plenary room from 8:00 a.m. February 14 through 12:45 p.m. on February 15, 2007; and one podium with lavaliere/wireless microphone in the plenary room on February 13th, 14th, and 15th. f) On site photocopying of 100 sheets as needed on a daily basis (100 sheets per day maximum); and g) From February 13th, 2007 1:00 p.m. through February 15th to 5:00 p.m. a Department staff business suite with secured staff storage space.
