- The Department of Veterans Affairs Medical Center, VISN 6 Centralized Acquisition Service, intends to negotiate a sole source procurement with Varian Medical Systems, Inc. 3100 Hansen Way, Palo Alto, CA 94304-1030. This proposed contract action is for providing Preventative Maintenance Hardware and Software Support for the Varian Treatment Planning and Verification System's for the VA Medical Center (VAMC) in Durham, NC, in accordance with the below Statement of Work. The VA intends to procure this requirement on a sole source basis in accordance with the statutory authority of 41 U.S.C. 253(c) (1) as implemented by FAR 6.302-1. Only One Responsible Source and No Other Supplies or Services Will Satisfy Agency Requirements. The proposed period of the contract will be for a Base Year and Four (4) Option Years. NAICS Code 811219 applies to this procurement. THIS NOTICE IS NOT A REQUEST FOR COMPETITIVE QUOTES and no solicitation will be issued; however, any firm that believes it can meet the requirements may give written notification to the Contracting Officer within 7 days from the date of the publication of this synopsis. Supporting evidence must be furnished in sufficient detail to demonstrate the ability to comply with the requirement listed. Responses are due by March 5, 2007 at 3:00pm EST and can be sent to VA Medical Center - Hampton, ATTN: Timothy Vaughn (90C), 100 Emancipation Drive, Bldg. 27, Hampton, VA 23667 or email to Timothy.Vaughn1@med.va.gov. A determination by the Government not to compete this proposed contract based on responses to this notice is solely within the discretion of the Government. Information received will be considered solely for the purpose of determining whether to conduct a competitive procurement. Telephone or faxed inquiries will not be accepted. If no responses are received, the VA Medical Center will proceed with a sole source negotiation with Varian Medical Systems, Inc. Statement of Work. STATEMENT OF WORK FOR PREVENTATIVE MAINTENANCE OF THE VARIAN TREATMENT PLLANNING AND VERIFICATION SYSTEM'S AT THE VAMC IN DURHAM, NC 1. The Varian Treatment Planning System is called "Eclipse" and our Varian Treatment Verification System is called "VARIS." The coverage sought is essentially the "Gold Fixed Support Agreement for VARIS VISION and TPS." 2. Contractor shall provide all parts, equipment, labor and travel for hardware and software support, including software updates and upgrade releases, to maintain the Varian Eclipse Treatment Planning System and VARIS Vision Treatment Verification System used in the Dept. of Radiation Oncology at the Durham VAMC. Software and hardware support includes all remote diagnostic support, telephone technical assistance and onsite support that may be necessary. 3. Hardware and software support shall be made available M-F, 8:00AM to 5:00PM, excluding federal holidays. Hardware and software support is limited to Varian products or to hardware or software provided by Varian. Response times are one (1) hour to return calls for service and twenty-four (24) hours for onsite service. Additional hardware, labor to install and applications training necessary to accommodate upgrade releases are not covered by the scope of this contract. Optional software offered by Varian that is purchased during the course of the support contract will be provided with a 50% discount from list pricing. Billable labor will be provided with a 35% discount from list pricing. 4. Billing by certified invoice in arrears. Monthly or quarterly at the option of the provider. Reference ID is Eclipse IMXT w/server, serial # 2890 (482890) and Eclipse IMX w/server, serial # 2891 (482891). VARIS Vision. Reference ID is Integrated System 7.4 serial # 4394 (834394).
