Description: This is a combined synopsis/solicitation for commercial items prepared in accordance with the format in Subpart 12.6, as supplemented with additional information included in this notice. This announcement constitutes the only solicitation; proposals are being requested and a written solicitation will not be issued. 1. The Colorado Army National Guard, Safety and Occupational Health Office is coordinating Hotel accommodations for the Aviation Safety Conference and Ball for the weekend of January 1 2 and 13, 2008. 2. The specific requirements for the weekend are: a. One large room large enough to accommodate 450 people that can be divided (1/3 and 2/3) at a later time (classroom set up or crescent) (12 & 13 Jan 2008, 0700-1630 each day) 1) Two 10 foot video screens that can be synchronized and later separated to op erate independently 2) Two computer projectors that can be synchronized and later separated 3) Two A/V Carts 4) Two wireless/lavalier microphones with transmitters 5) Mixers to connect microphones to house sound system 6) T-1 High Speed Internet / VTC connectivity 7) Cables and A/C outlets to support A/V needs 8) Stage in the front of the room b. One room to accommodate 35 people (classroom set up) 1) One video screen 2) One computer projector 3) One A/V Cart c. One room to accommodate 10 people and computer equipment for administrative purposes 1) Tables and chairs 2) A/C outlets d. One large room for 350 people 1) One-two 10 foot video screens 2) One to two Computer projectors 3) One A/V Cart 4) Two to four wireless microphones with transmitters 5) Mixers to connect microphones to house sound 6) T-1 High Speed Internet/VTC connectivity e. One Large room on 13 January 2008 to accommodate 460 people standing in a military formation for a Change of Command (no tables or chairs)is needed from 3 - 5 pm; therefore, it needs to be an area in addition to the one occupied by the safety day attend ees to allow us to rehearse. We want this area to be completely free of tables and chairs, essentially, an empty conference rooms space would be ideal. Ceiling must be high enough to accommodate flags with stands. 3 - 4:00 pm - setup podium, guest chairs, rehearsal 4 - 4:30 pm - change of command 4:30 - 5:00 pm - clean-up f. Free Parking g. Lunch meals for up to 380 persons h. Lunch meals usually a buffet style at a reasonable price will draw the best crowd. i. Hotel rooms (25) for Friday night (January 11, 2008) j. Hotel rooms (125) for Saturday night (January 12, 2008) k. Welcome area with sign in tables in front of general conference area and smaller conference area l. Two podiums for the speakers. m. Audio Visual Support person for day and evening (social) events 12 & 13 Jan 08 The area of consideration is the Denver Metropolitan Area within a 30 mile radius from downtown Denver.
