Description
This is a combined synopsis/solicitation for commercial items prepared in accordance with the format in Federal Acquisition Regulation (FAR) subpart 12.6, as supplemented with additional information included in the notice. This announcement constitutes the only solicitation; quotations are being requested and written solicitation will not be issued. The North American Industry Classification System (NAICS) code for this acquisition is 721110. Description of Facilities: The Federal Bureau of Prisons, located at 320 First Street, N.W., Washington, D.C. 20534, NIC Division. Performance of Work- Lodging: The Bureau of Prisons (BOP), National Institute of Corrections (NIC Division), is looking for an Hotel, for a October Conference (October 20-24, 2008), to include hotel and lodging reservations, to furnish a hotel in Raleigh, NC area (within thirty (15) miles of a major airport). The NIC division is seeking lodging in a hotel/resort that possess a hotel conference room, specifically made for conferences (not two rooms converted into a conference room), no less than 2,500 square feet. The BOP/NIC will need a confirmation on hotel no later than 08/06/08, failure to do so could result in not being considered for award. Lodging: The BOP will be providing on-site staff for the conference, no event management staff is needed. The BOP staff will not be included in the contract, but we will need five (5) additional rooms blocked, at the same hotel for the staff to pay via government credit/travel card. Dates: October 20, 2008 (arrival) to October 24, 2008 (departure), four nights. Rooms that need to be blocked but will be paid via government/personal travel/credit card (these rooms shall be blocked in accordance with the government per diem rate): Twenty (20) blocked for 10/20/08-10/24/08 (four nights, total: 20). Rooms paid via contract: Fifty-Five (55) blocked for 10/20/08-10/24/08 (four nights), Total: Two-Hundred and Twenty (220) rooms during four nights paid via contract, Twenty (20) via government/personal credit card. Meeting Rooms: One (1) main meeting room, minimum 2,500 square feet. The room will be needed as follows: Monday (10/20/2008), 3:00pm-7:00pm. Tuesday thru Thursday (10/21-10/23/2008): 7:00am-6:00pm. Set-up: Twelve (12) round tables with six (6) chairs each. One (1) resource table (rectangular) for resource materials, rear of the room. One (1) refreshment table, located in the rear of the room. AV Equipment: TV/Monitor, vcr/dvd, cart-table. 8x8 screen. Microphone and Podium. One (1) flip chart with markers. Meals: 10/20/2008, sixty (60) people, dinner only. 10/21/2008, Breakfast, Lunch & Dinner, sixty (60) people. 10/22/2008, Breakfast, Lunch & Dinner, sixty (60) people. 10/23/2008, Breakfast, Lunch & Dinner, sixty (60) people. 10/24/2008, Breakfast, sixty (60) people. Please submit a menu with prices for the event. Additional Information can be obtained on the attached Statement of Work (SOW). *** Fifty-five (55) people shall pay per the contract, the additional five (5) people will have to pay for their meals with a government travel card or a personal credit card. Submission of invoices for these additional five (5) people will not be paid by the government business office. All issues must be resolve with the individuals involved. The NIC staff are to pay for these services via travel authorization, which is a different class of funding then appropriated funds. The contract shall pay for the services of the NIC guest (the twenty additional members), this is why some members are to be included in the contract and some are not.
