Description
This is a combined synopsis/solicitation for commercial items prepared in accordance with the format in Subpart 12.6, as supplemented with additional information included in this notice. This announcement constitutes the only solicitation; proposals are being requested and a written solicitation will not be issued. This is a combined synopsis/solicitation for commercial items prepared in accordance with the format in Subpart 12.6, as supplemented with additional information included in this notice. This announcement constitutes the only solicitation; proposals/quotes are being requested and a written solicitation will not be issued. This is not a total small business set-aside. The associated NAICS code is 721110 and the small business size standard is $7Million. The small Business Competitiveness Demonstration Program is not applicable. This solicitation is issued as a Request for Quote (RFQ). The Maintenance Officers Conference will be held in San Diego, CA. The hosting hotel shall provide the following items: Support Equipment A.Area set-up near hotel registration desk or conference facilities for pre-registration, 28 March 10, 1500 1800. 1-Table and 2-chairs. B.Conference (main meeting) room, 0600 1730 daily, 29 March - 1 April 2010, to accommodate 300 personnel. Classroom style seating. Set-up will be evening of 28 March 2010. On 29 Mar, the main meeting room will be utilized from 1800 - 2200. C.Additional meeting space (1)1 Board room (office) for conference staff. (2)2 large break out rooms for groups of up to 50 personnel. (3)4 smaller meeting rooms for groups up to 25 personnel. (4)Meeting room for Military Professional session evening of Monday 29 March 2010 with sufficient space to accommodate 300 personnel. D.Food and Beverage: (1) Morning and afternoon executive break or equivalent. Specifics detailed in 'Additional Details' below. 29 March 1 April 2010. The location will be inside the vendor area. (2)Professional Session. Evening of 29 March 2010. See 'Additional Details' below. E.Display room, 0600-1730 daily, 29 March - 1 April 2010, to accommodate 25 tabletop displays. Hotel will have tables in place by 1200 on Sunday, 28 March 2010. F.Reservation Information: The hotel should have a group listing for Apache. All individuals will be responsible for making their own room reservations and are responsible for their own payment. G.Audio / Visual Equipment: (1)Screens: 2 - 10x 10 or larger Tripod Screen for main conference room. (a) Preferably built in screens, 29 March 1 April 2010. (b) Set up the evening of 28 March 2010 *Apache Project Office will provide all projectors and any computers needed for display information. (2) Microphone and 4-channel Mono mixer: (a) Location: Main Meeting Area (b) Set up the evening of 28 March 2010 (c) 4-channel Mono Mixer. (d) UHF Wireless Microphone (2), Hand Held (2) (3) Installation and set-up of Audio Equipment. (4) Two phone lines; one for the registration area and one in the boardroom or equivalent meeting space. (5) Speaker phone for boardroom or breakout room. (6) In house sound system. Additional Details Total cost shall include all food, beverage and meeting space. Hotel Rooms are not included within the total amount. The United States Government request Tax Exemption Morning Executive Breaks or equivalent. a. The hosting hotel shall have the finger style food and beverage ready for the morning of 29 March - 1 April 2010 no later than 0715 each morning. b. The hotel shall provide as part of the proposal bid the finger style food and beverage to support a group of 300 personnel for the first two days and 275 personnel the third day and 225 the last day. c. Additional refills for coffee shall be made available and delivered on an as needed basis. Afternoon Executive Breaks or equivalent: a. The hosting hotel shall have finger style food and beverage ready for the afternoon of 29 March 1 April 2010 no later than 1430 hrs each afternoon. b. The hotel shall provide as part of the proposal bid, finger style food and beverage to support a group of 300 personnel for the first two days and 275 personnel the third day and 225 the last day. Professional Session: a. The Military professional Session shall be held the evening of 29 March 2010, from 1800 - 2200 hrs. An evening executive food and beverage break will be made available for this event. b. The hosting hotel shall have appropriate food and beverage ready no later than 2000 hrs on 29 March 2010. (1)Finger style food for 300 people. (Not a sit down dinner) (2)Food and beverage stations The following provisions apply to this acquisition: 52.212-1, Instructions to Offerors -- Commercial 52.212-4, Contract Terms and Conditions -- Commercial Items 52.212-5, Contract Terms and Conditions Required To Implement Statutes Or Executive Orders -- Commercial Items, The offeror must include a completed copy of the provision at 52.212-3, Offeror Representations and Certifications -- Commercial Items, with its offer. 252.232-7003 Electronic Submission of Payment Requests and Receiving Reports. 252.212-7001 Contract Terms and Conditions Required to Implement Statutes or Executive Orders Applicable to Defense Acquisitions of Commercial Items.
