- THIS NOTICE IS FOR INFORMATION ONLY. It is the intent of the United State Army Medical Reseach Acquistion Activity (USAMRAA) to award a contract in accordance with Federal Acquisition Regulation (FAR) Part 13, Commercial Items. The purpose: The United State Army Medical Reseach Acquistion Activity (USAMRAA) seeks technical assistance and professional expertise to repair, maintain and replace for ten (10) Canon Copiers in Attachment 1, within different building locations. Expertise in Canon Copiers is essential to ensure proper installations, updates, and disassemble of the machines. The contractor selected for the Maintenance Agreement shall provide the office with on-site training to site Administrators to ensure the usage of the machines function at full capacity. Period of Performance: The period of performance shall be a 12-month base period from the date of the award with four 12-mounth option periods. Offerors must adequately meet all of the criteria below in order to be considered technically acceptable for the award. A description of the supplies or services required to meet the agency's needs: Conrtractor shall provide Canon imageWare Enterprise Management Console at no additional cost. This internet portal allows OS to actively monitor the status of all Canon multifunction devices within the USAMRAA network in real-time. This includes viewing service histories as well as monitoring the status of staples, toner, paper, network connection, and meter readings. Contractor shall provide Service Maintenance Agreement for eleven (10) Canon Copiers, to include any newly installed Canon brand equipment or throughout the term of Canon owned equipment, the offerror will, at the Government's request replace such equipment with a like unit if the following three conditions are met: (1) the equipment is continuously under a Canon authorized service provider maintenance agreement from the date of installation; (2) all terms of the Canon maintenance agreement applicable to the Government are fulfilled; and (3) prior to requesting a replacement like for like unit, the offerror is given a reasonable opportunity to cure any service problems with the equipment. Flat rate monthly charge for unlimited black & white copies - the flat rate maintenance plan will accommodate the migration of stand alone printers to multi-functional devices; supporting a Departmental directive. The rate also includes all labor, parts, toner, and staples. Requirements: Support an annual scheduled (response time within 3 to 5 days per scheduled) and on-call maintenance service, all preventative maintenance, replacement parts included (drum units and all supplies included (unlimited onsite service with a maximum 2-hour response time) including toner and staples, labor and travel time, excluding paper. Maintenance of the copiers must be performed by certified Canon technicians on Canon equipment insures the continuation of the warranty agreement on government owned Canon equipment. NOTE: Maintenance performed by a vendor other than Canon will effectively void the copier warranty. This agreement offers full service and parts replacement (genuine Canon parts only) which provides optimum life expectancy and copier performance. In addition to maintenance and additional services, including parts, labor, and toner, this agreement provides preventative maintenance inspections on a regular scheduled basis, technical system engineers with a security clearances who are eCopy scanning certified, and a dedicated Federal Account Manager who monitors all technical, administrative, service, and policy matters. Interested parties possessing these required capabilities should submit a cover letter, along with their capability statement, demonstrating the ability to perform all aspects of this requirement. Responses must include: the contractors name and business address; the name, phone number and e-mail address of a point of contact; the contractor?s Tax Identification Number and DUNS number (so the Government can verify that the firm is registered in the CCR); a list of previous contracts for similar type requirements; and any company literature or brochures that may be relevant. This notice of intent is not a request for competitive proposals. However, all capability statements or proposals received within 5 days after the date of publication of this synopsis may be considered by the Government. This as intent is for Small business concerns (including small businesses, small disadvantaged businesses, HUBZone small businesses, woman-owned small businesses, veteran-owned small businesses, etc.) are encouraged to review this notice. A determination by the Government not to compete the proposed acquisition is based upon responses to this notice and is solely within the discretion of the Government. Information received will normally be considered solely for the purpose of determining whether to conduct a competitive procurement. Any requests for solicitation packages will be disregarded. Please provide the following in your response: 1) Pricing 2) Documentation verifying availability of the item specified above 3) Availability of products on GSA contract if applicable.
