- The purpose of this Request for Information (RFI) is to conduct market research which will be used to formulate an acquisition strategy to support all aspects of event planning and graphic support of a "GSA Day" event in November 2010. Any information submitted by respondents to this synopsis is strictly voluntary. This market survey does not constitute a Request for Proposals (RFP) or an invitation/request for sealed bids (IFB), nor does its issuance restrict the Government as to its ultimate acquisition approach. The Government will neither award a contract solely on the basis of this notice, nor pay respondents for any information that they submit in response to this Sources Sought request. Our objective is to increase awareness and understanding of GSA's National Capital Region. We would like to do this with an event that features booths/tables to share information with the general public, client agencies, vendors, and employees about GSA NCR - who we are, what we do, significant initiatives, how we impact communities, how we help Federal agencies achieve their missions, how to contract with us, how to apply for positions, and similar concerns. The "GSA Day" will answer specific questions the audience might have. Examples of these questions could be: How do I get my business on GSA schedule? How do I buy used government vehicles? How do I find out about the American Recovery and Reinvestment Act (ARRA) success stories? What is GSA doing on sustainability as it relates to the Executive Order on "greening"? What are the initiatives in cost containment? How do I find out what government space might be for lease? I am a concessionaire and want to sell my products in a government building, how do I do it? I am graduating from college, how do I get into an internship program in real estate? These are the support functions we think we will need: - Preparing fact sheets concerning the event - Establishing a communications plan and marketing the event to the target audiences - Keeping leadership informed - Designing and printing all the graphics based on a theme for the event - Advertising the event - Planning the key topics for the target audience - Coordinating the booths and the logos throughout the event - Developing a time line and tracking the progress to ensure on time execution - Developing a layout of the venue space and working the allocation of space - Developing the set up, day of and take down schedules - Coordinating with security - Conduct evaluation, follow up with participants and preparing after action summaries - Prepare all graphics related to the event to include invitations, handouts, directional signage, maps of the venue - Prepare power point presentations - Brief senior leadership on progress and prior to the event and in after action - Prepare project facts, information about GSA and develop information on target audience and stakeholders - Prepare read-aheads for senior leadership and GSA participants - Assist with the assignment of responsibilities and lead project milestones MISCELLANEOUS: The event will need to accommodate 2,000 people. No food will be served at the event. There may be roughly 15 "breakout" rooms, which measure about 18" X 16". TIMELINE/AGENDA: RFI due COB June 15, 2010 RFI SUBMITTAL: Responses to the subject RFI should be no more than two (2) pages, single spaced, 12 pt. font, and written in Arial.
