Amendment #1 is here by issued to provide all the Questions and Answers pertaining to this current combined synopsis / solicitation. No other Questions will be accepted as of this posting. See following Q & A: Q&A's from Hotel Solicitation 1.Q: Regarding the required 24 Suites each with a Conference Table and 3 Chairs for Candidate Interviews - Dec 4 - Dec 10 - 3 chairs around a table for interviews - A: Does NOT need to be a conference table. Location would be the living room/sitting area of a suite - bedroom area must be closed off/not seen. 2.Q: For the 1 Director's Office, how many tables and chairs? A: A large conference room table with the ability to have some tables on the side. This is main room where materials are stored, organized, distributed and gathered throughout the day. Probably only about 5 chairs would be needed. 3.Q: For the 2 Conference Rooms (1000sqft each), what setup do you need? Classroom/conference/theatre? And how many people in each room? A: Classroom-style with 12 tables, 2 per table, facing a long main table at front of room with space for a variety of materials and supplies on the sides. Must have plenty of room at 12 classroom tables for various papers and binders and laptops. 4.Q: Do you need to feed up to 101 People for Lunch? A: That's the approximate total number of lunches we will need each day, but served in separate areas - see Q#5 below. 5.Q: Do you need 2 Separate Rooms to feed 24 people each in? A: The assessors and the candidates cannot dine together. Therefore, we need 2 separate areas to eat lunch in. 6. Q: While the 54 Standard Rooms be individually paid? A: Yes 7.Q: Regarding the Hotel 2 (sleeping rooms only), which must be within ½ mile from Hotel 1(event hotel), do you need 96 standard rooms from Dec 5 thru Dec 9 and 48 standard rooms from December 4 thru December 8? A: Partially correct: We need 96 rooms from December 5th thru 9th HOWEVER, the 48 rooms are needed on December 4 AND December 8, NOT the 4th thru 8th 8.Q: Will all lunches be held in Hotel 1 (event hotel)? A: Yes 9.Q: Will approximately 101 people need to eat lunch each day? A: Yes 10.Q: Do you need 2 room for lunch for 24 people each day? A: We will require 2 shifts of 24 people each in one room and the remainder 53 will be coming and going into the other lunch room/space. 11.Q: Do you need a total of 3 separate areas for lunch for approximately 149 people? A: We need 2 areas accommodating a total of approximately 101 per specifics in Q10 above. 12.Q: Why would you not want all lodging under one roof? A: The "students" and the "testers" cannot be housed in the same hotel, in order to maintain the integrity of the testing environment and personnel involved within. 13.Q: Is there a separate solicitation for the above lodging which is separate from this one? A: NO 14.Q: Are you seeking single or double occupancy or the housing above? A: Single 15.Q: Requirement #10 which states: approximately fifty-four (54) sleeping rooms for agency employees, to be provided at government rate or better. These rooms will be individually billed to each traveler and not be included on the final purchase order, although the rate per room will be looked at overall to determine a fair and reasonableness proposal. How long with they require lodging (dates and single/double occupancy)? A: 54 single occupancy sleeping rooms from Sunday, December 4 (check-in) through Saturday, December 10, 2011 (check-out): 16.Q: Are you looking for 3 separate room bocks at 3 different hotels? A: No - we need two room blocks and two separate hotels. 17.Q: Are you looking for a hotel to host the actual conference as well? A: The hotel with the 54 room block would be considered the "host" hotel of our "testing/interviewing" event. This is the hotel that must have the main rooms and interview suites. The "students" and the "testers" cannot be housed in the same hotel, in order to maintain the integrity of the testing environment and personnel involved within. 18.Q: The solicitation I received has function space on it as well. I understand you are looking to have 2 main holding rooms for 1000 sq. feet, a Directors office, 2 separate meal rooms for 54 people each and then suites for interview sessions. Is this correct? A: Yes, those are the rooms that are required for our function and all is correct except for your meal description. For lunch we will require 2 shifts of 24 people in one room and the remainder 53 coming and going in the other space. 19. Q: The solicitation stated that the hotels must have an airport shuttle to Dallas/Fort Worth International Airport and must be within 10 minutes. Is this a must? A: This is a must.
