- STATEMENT OF WORK Background The Department of Veterans Affairs in Erie, Pennsylvania has a requirement for the purchase of an automated cover slipping system with an automatic transfer station. The successful offeror shall provide a coverslipper that is brand name or equal to the Fully Automated Glass Coverslipper Leica CV5030. Currently, the cover slipping process is 100% manual and it consists of mounting glass cover slips onto individual pathology/cytology slides containing sections of tissue or cytopathology smears. Preparation of pathology and cytology specimens for disease diagnoses is a six-step process and procurement of a walk-away, automated cover slipping system that is integrated with our current staining system will allow for a more streamlined process. The robotic cover slip will be integrated with the laboratory staining equipment to allow for automatic transfer between systems. The cover slipper will place both mounting media and one glass cover slip on each individual stained slide. The Government intends to issue a purchase order for this equipment. Requirements: 1.The price of the system is to include shipping, installation, configuration, on-site training, and a 12- month standard factory warranty. 2.The automated cover slipping system must be compatible for full integration with the Leica ST5010 Autostainer, creating an automated, walk-away workstation. Required physical characteristics of the brand name or equal (Leica CV5030) system: "High-throughput cover slipping; at least 400 slides/hour "Can be used for different purposes at the same time (i.e. histology & cytology) "Fume extraction system with activated charcoal filter "Ability to use xylene-free mounting media "Accepts tissue sections and cytopathology smears "Provides wet cover slipping "Accommodates up to 24 x 60 mm cover slips "Ability to accommodate continuous feed of cover slips "Accepts commonly available brands of mounting media "Accepts different types of slide racks "Includes fume handling system "Programmable settings for optimization of cover slipping "Includes broken glass detector with automatic removal to ward off jamming "Integrated transfer station consolidates slide movement from stainer to cover slipper "Must integrate and be fully compatible with the Leica ST5010 Autostainer Technical The Contractor will provide a System Operation manual and maintenance schedule for the purchased system. An accessory kit for routine maintenance and operation shall also be included. Installation & Training Vendor will install system in the Histology section of Pathology & Laboratory Medicine. The Contractor may be on station from 8AM-4:30PM on Monday through Friday. All work must be coordinated, in advance, with the Contracting Officer's Technical Representative (COTR). In addition, all Contractor employees shall obtain an I.D. badge from the Police at the Erie VAMC prior to performing any work on station. The Contractor shall configure all settings for local use based on information provided by the COTR. Training shall be provided for three technologists and shall include a hands-on technical demonstration. The lead Histology-trained technologist will receive and in-depth training session in order to operate as the subject matter expert. The standard installation and training will not exceed one business day. Delivery and Shipping Information All items quoted must be F.O.B. destination. All items shall be shipped to the following location: Attention: RECEIVING WAREHOUSE 135 East 38th Street Erie, Pennsylvania 16506 Monday - Friday from 8:00am - 3:30pm Support The Contractor shall provide a standard, one-year warranty, which begins on the date of product installation. In addition, the Contractor will provide telephone technical support and repair services to the Erie VAMC during the time of the one-year warranty. VA Privacy and Security Training The Contractor will ensure that their employees, under this contract, complete the Privacy Awareness and Cyber Security training annually. The training can be completed through the following website: https://www.ees-learning.net Annual training must be completed no later than 3 weeks after the award of the contract of each contract year. Completion certificates will be generated at the end of the training sessions and should be printed and sent to the COTR at the Erie VAMC.
