- United States (U.S) Department of Veterans Affairs (VA), Veteran's Health Administration (VHA), NEC Maintenance VA118-12-I-0564 This is a Request for Information (RFI). The Department of Veterans Affairs (VA), Office of Information & Technology (OIT), Veterans Health Administration (VHA) VA Medical Center (VAMC) Caribbean Health Care System has identified a need for telecommunication maintenance and follow-on services for NEC Private Branch Exchange (PBX) Voice Systems (VS) and all associated peripheral equipment. This requirement includes the following tasks: The Contractor shall provide Original Equipment Manufacturer (OEM) maintenance services for the existing PBX VS located at the San Juan Caribbean Health Care Center in San Juan, Puerto Rico, and Ponce and Mayaguez OPCs, to include all hardware/software ports provided by the VS, or any other component to the extent that if the common equipment, any station/trunk card, or any other VS component fail, the Contractor shall replace the failed equipment/software with new equipment/software. Service coverage shall include Telephone Instruments, cable plant (copper/fiber), battery backup system, VS and Telephone Room (TR) environmental alarms and all interfaced ancillary systems, i.e., Voice Mail (VMS), Automated Attendant (AA), and Telecommunications Management System (TMS). Services shall also include VS Security, documentation, and inventory control. The Contractor shall implement a preventive maintenance schedule including battery backup system, and provide a seven day, twenty-four hour (24x7) contact number for emergency maintenance, routine maintenance and follow-on service/equipment. The term "follow-on service/equipment" as used in this document shall refer to the efforts required of the Contractor to accomplish all voice cable connections and additional cable requirement including Moves, Adds, and Changes (MAC). The Contractor shall furnish all personnel, equipment, tools, materials, transportation, management supervision, and other items and services necessary to perform all VS maintenance tasks and functions. Note: Where telephone system and PBX appear in the singular form, the requirement shall be for multiple VS for the sites as applicable for San Juan Caribbean Health Care Center in San Juan, Puerto Rico, and Ponce and Mayaguez OPCs. The Contractor shall provide services to the following VISN 8 site(s): 1.San Juan Caribbean Health Care Center in San Juan, Puerto Rico 2.Ponce OPC, Ponce Puerto Rico 3.Mayaguez OPC, Puerto Rico Information Requested: Interested parties shall provide the following information when responding to this RFI: This RFI is issued solely for information and planning purposes - it does not constitute a solicitation nor does it restrict the Government as to the ultimate acquisition approach. In accordance with Federal Acquisition Regulation (FAR) 15.201(e), responses to this notice are not offers and cannot be accepted by the Government to form a binding contract. Any contract that might be awarded based on information received or derived from this market research will be the outcome of a competitive process. Responders are advised that the U.S. Government will not pay for any information or administrative costs incurred in response to this RFI. All costs associated with responding to this RFI will be solely at the interested vendor's expense. Not responding to this RFI does not preclude participation in any future RFP, if any is issued. If interested, please submit a Capabilities Statement that addresses whether you can provide some, all, or none of the required services. Responses shall be limited to ten (10) pages. The response shall include your company name and your expected teammates/partners and or subcontractors. Also, please indicate if you, your teammates and/or subcontractors are a Service Disabled Veteran Owned Small Business or a Veteran Owned Small Business Responses are requested NO LATER THAN August 10, 2012 at 3:00 P.M.
