Description
The U.S. Census Bureau is looking for lodging and meeting space in either the city of Dallas or Houston, Texas, for the National Ambulatory Medical Care Survey (NAMCS) and the National Hospital Ambulatory Medical Care Survey (NHAMCS) Centralized Training. Dates are January 6 through 10, 2013. Lodging is as follows: 350 sleeping rooms on Sunday, January 6, 2013; 725 sleeping rooms on Monday January 7, 2013; 725 sleeping rooms on Tuesday January 8, 2013; 550 sleeping rooms on Wednesday, January 9, 2013 and 180 sleeping rooms on Thursday, January 10, 2013. Accommodations must have full service restaurant, Metro access within one block, and food/banquet services. Meeting requirements are as follows: Monday, January 7th, one (1) plenary general session classroom set up (Ballroom) to accommodate 350 people; Tuesday and Wednesday, January 8th and 9th, two (2) Plenary general session classroom set up (Ballrooms) to accommodate 363 people in EACH room; Thursday, January 10th, one (1) plenary general session classroom set up (Ballroom) to accommodate 375 people. AV for EACH general session room is as follows: 2 LCD projectors, 2 large screens, 1 podium with microphone, 3 wireless microphones and lavaliere microphone. Breakout rooms are as follows: Fifteen (15) breakout rooms on Monday and Thursday, set up for 25 people each. AV for EACH breakout room to include 1 LCD projector, 1 large screen, 1 podium with microphone, and 1 wireless microphone. The U.S. Census Bureau reserves the right to conduct an on-site inspection of offered facilities. Lodging rate must be equal to or less than Government per diem rate. All responsible sources that can meet the requirements and provide items as listed above may respond to this solicitation by submitting cost and technical proposal, hotel contract, and descriptive literature to Lisa Safewright via email to lisa.r.safewright@census.gov, by 3pm eastern time on Wednesday, December 12, 2012. Award will be made on a best value basis, by Government purchase order, according to Simplified Acquisitions Procedures.
