Description
This is a combined synopsis/solicitation for commercial items prepared in accordance with the format in Subpart 12.6, as supplemented with additional information included in this notice. This announcement constitutes the only solicitation; proposals are being requested and a written solicitation will not be issued. The MICC-Ft. Dix contracting office has the following requirement: 56th MP Company Yellow Ribbon Event #1 1.SCOPE: This Performance Work Statement (PWS) defines the efforts required for the design and execution a Yellow Ribbon Program (YRP) event in Mesa, AZ for the 56th Military Police (MP) Company. 2.BACKGROUND: The YRRP is a congressionally mandated program to assist Soldiers and Families during various phases of the deployment cycle. Event #1 is held for Soldiers and family members of deploying Soldiers. 3.REQUIREMENTS: a.Lodging : i.135 double occupancy rooms for two nights, check in 15 February 2013, check out 17 February 2013. Total of 270 lodging nights. ii.5 double occupancy rooms for four nights, check in 14 February 2013, check out 18 February 2013. Total of 20 lodging nights. b.Lunch meal: Lunch meal provided on 16 February 2013 between 11:30 AM - 1:00PM local time for approximately 410 personnel for one day. Meal shall include 2 meats, 2 vegetables, 2 starches, 2 non-water drinks, coffee, assorted tea and dessert. Meal shall include kid friendly items, such as chicken fingers and/or French fries. c.General Session room: One (1) General Session room to accommodate 350 personnel for two (2) days. The room should be set up in a classroom style. To be utilized from 7:00 am -5:00 pm on 16 February 2013, and from 07:00 am - 1:00 pm on 17 February 2013. d.Child Care Rooms: Three (3) rooms to be utilized for child care to accommodate 65 children total. To be utilized from 7:00 am -5:00 pm on 16 February 2013, and from 07:00 am - 1:00 pm on 17 February 2013. Each room to have one TV/DVD player, eight (8) small tables for activities. One room should have four (5) baby cribs. The rooms should be in close proximity to the General Session/Breakout rooms. e.Breakout Rooms: Three (3) large breakout rooms setup crescent style to accommodate at least 120 people each. Breakout rooms are to be located in close proximity to the General Session Room. However, the General Session Room is not to be used to host the Breakout rooms. The General Session room and the Breakout Rooms are to be separate spaces. To be utilized from 7:00 am -5:00 pm on 16 February 2013, and from 07:00 am - 1:00 pm on 17 February 2013. f.Conference Rooms: Two (2) Conference Rooms. One (1) will be utilized as for private counseling/legal purposes and will require four (4) 6 ft tables with 12 chairs. To be utilized from 7:00 am -5:00 pm on 16 February 2013, and from 07:00 am - 1:00 pm on 17 February 2013. One (1) will be utilized by the Yellow Ribbon Staff for an operations room. Boardroom setup is preferred. To be utilized from 14 February to 18 February 2013 g.AV Package/Support Package - Audio visual package to include: Three (3) 8x10 screens; three (3) hand held mics; three (3) lapel mics; Three projector stands/ tables with appropriate power connections to accommodate laptops and projectors; h.Vendor Displays and Registration: Two (2) 6 ft tables for Registration near front desk to be utilized on 15 February 2012 from 10:00 am - 6:00 pm. Twenty (20) 6 ft tables with two chairs per table near the General Session/Breakout rooms to be utilized from 7:00 am -5:00 pm on 16 February 2013, and from 07:00 am - 1:00 pm on 17 February 2013. 4.Location: Mesa, AZ.
