- Sources Sought The Department of Veterans Affairs, Veterans Integrated Service Network (VISN 8), James A. Haley Veterans Hospital, Tampa, FL is currently seeking firms, Service Disabled Veteran Owned Small Business, Veteran Owned Small Business, Hub zone, 8(A), Woman Owned Small Business or Small Business with the ability to provide the items listed below. I. SCOPE OF WORK: To provide a venue and catering service for 300 volunteers on April 15, 2015. a.Space: The venue shall provide 7500 square footage ballroom with audio sound system, 24 feet ceiling heights with a 5, 400 square foot foyer space to set-up three (3)- 6 foot registration tables, exhibits, extra chairs, and a fruit display with water station for guest to gather, meet/ greet in a reception area as they wait for the program to begin. The venue shall also provide cocktail tails, both high and low in the reception area to accommodate 75 early arrival guests. The ballroom space shall accommodate 300 attendees. b.Parking- The venue shall provide parking to accommodate 300 attendees with 8 handicap accessible parking spots located at the entrance of the hotel. The venue shall also provide complimentary shuttle service to/from James A. Haley VA hospital for mobile and wheelchair bound attendees. c.Radius from James A. Haley VA Hospital-The venue shall be located within a 5 mile radius to accommodate the needs of those volunteers who live near the hospital and rely on public transportation. d.Handicapped Accessible and Wheelchair Accessible- The venue shall provide handicapped and wheelchair accessibility. The venue shall provide male and female restroom facilities within 25 feet from the ballroom with six (6) standard stalls and one (1) handicap accessible; as well as, a combined total of two (2) restroom facilities within 50 feet of the ballroom with a combined total of ten (10) standard stalls, two (2) of which are handicap accessible for both men and women. The venue shall provide two (2) wheelchairs to assist customers if needed for an emergency. e.On Site Catering- The venue shall provide onsite catering services. f.Food to serve: The venue shall provide Fruit Display with water station in lobby reception area prior to the start of ceremony price to be included in the $23.00 per person fee. The venue shall provide a Salad-entrée; lunch entrée of one meat, vegetables, and a starch; a vegetarian option, Desert options, and Rolls with Whipped Butter to be served during the program. g.Drinks: The venue shall provide Coffee, Iced Tea and Iced Water throughout the duration of the event. h.Stage: The venue shall provide a portable stage for award presentation with wheelchair accessibility Stage Size: 12 X 8 with Podium. i.Microphone/projector for presentation- The venue shall provide a staff member to set up microphone for the podium and projectors for a slide show presentation with state of the art sound system to accommodate the needs of a DJ. j.Tables: The venue shall provide the appropriate number of round tables to accommodate 300 guests with White/Ivory Linen for each table. k.Arrangement (table) spaces between each: The venue shall provide approximately 4 ½ sq. ft. l.Number of waiters/waitresses: The venue shall provide the normal serving standards are 1 server per 30 guests m.Set-Up Time: 7:00am n.End Time: 1 p.m. o. Number of Skirted Tables in the Lobby area for Registration: The venue shall provide Three (3) skirted- 6 foot tables for the registration area. II. SERVICES TO BE PROVIDED: The venue shall provide the venue, catering services, round cocktail tables in the reception area, waste baskets placed on each table, chairs, linen, audio, microphone, projector, 14 X14 drop down screens for a slide show, DJ services and DJ Table, floral décor and decorations, live plants, atrium with water features to serve as a backdrop for photo's, AV Table, and staging for the Volunteer Recognition Luncheon. The venue will be responsible for cleanup of the venue following the event. III. SPECIAL INSTRUCTIONS: The venue will provide three (3) skirted registration tables with six (6) chairs located in the lobby area. In addition, Two (2) Skirted Tables in the rear of the room for giveaway gifts. One table near the large center aisle will be reserved for wheelchair access. Four (4) Tables will be reserved at the front of the banquet room for speakers and VIPs. Two (2) skirted tables will be provided in the front of the stage at floor level. The NAICS code for this sources sought is 721110, Hotels (except casino hotels) and motels. This has a size standard of $7 million. The government reserves the right to consider a small business set-aside based on responses to these sources sought. All information submitted by respondents to this sources sought synopsis is voluntary. This sources sought notice is not to be construed as a commitment by the Government, nor will the Government reimburse any costs associated with the submission of information in response to this notice. Respondents will not individually be notified of the results of any Government assessments. The Government's evaluation of the capability documentation received will factor into any possible forthcoming solicitation.
