- Amendment Three (3) This Amendment concludes the Request for Information (RFI) period. All questions are listed as received without alteration. Questions listed are from 25 Aug - 2 Sep 2015. Vendor Request for Information (RFI) 1.Can you assist me with the actual response day or date the offer should be submitted. Within the solicitation, I have noticed dates that are varying. If you could please be so kind and provide me with the date, I would be much appreciative. Thank you. Response: 1). All responses are due 9 Sep 2015 at 16:00. 2). Request for Information (RFI) deadline is 2 Sep 2015. 2.Does the solicitation referenced above allow third party vendors to bid? Response: The VA is seeking Licensed Owner/Operators of Hotels/Motels in the Lee County area for this requirement. The VA will be scheduling our veterans directly because of our requirement of verifying veteran's eligibility for the provided service. 3.Does it allow third party vendors with a Hotel binding agreement the opportunity to bid? Response: See question# 2. 4.Is there a schedule or time frame (morning, afternoon, evening) for the shuttle service to the Medical Center? Response: 0630AM Morning run, Afternoon 1200PM, Evening 600PM 5.Is every shuttle service to be equipped a lift gate or other handicapped capabilities? Response: Yes 6.Can we expect some accommodations will extend beyond Thursdays? Response: No 7.Are the ADA Compliant rooms required to have roll-in showers? Response: Yes with ADA approved grab bars and shower seats. http://adabathroom.com/grab_bar.html 8.Does the Combined Synopsis/Solicitation under solicitation number VA24815Q1774 contain requirements similar to a current contract? If possible, please provide the current contract number. Or, is this a new requirement for the government? Response: This is a new requirement for Lee County. 9.Can the rates be seasonal? I've spoken with quite a few hotels in regards to Feb through Apr of each year and they would need to increase rate for those time periods. Response: A Flat rate is request for the term of the contract. 10. Other VA's that I worked with have done a weekly list and then made changes daily if need be but I've also had VA groups that didn't send out final count until 4pm day of. Can you please let me know how far in advance hotels would receive the daily list. Again, this is only a problem for the high demand months Feb-Apr. Response: Reservation requests are made daily. Some reservations are made a month in advance and some are made the same day. There will be possible change made daily due to medical issues or other issues. A standard time of 6PM release will be in place, however times can be adjusted between hotel and the Contracting Officer Representative (COR). 11. Is there a current incumbent and if so can you please share who that is and at what rate. Response: See question #8. 12.In reading the "Solicitation Statement of Work" - one of the requirement stated is a Shuttle service to transport veterans for scheduled appointments.- unfortunately we do not have such service, does that stipulation keep us from bidding for this contract? Response: No.
