Description
This is a combined synopsis/solicitation for commerical items prepared in accordance with the format in Subpart 12.6 as supplemented with additional information included with this notice. This announcement constitutes the only solicitation; proposals are being requested from this document and a written solicitation will NOT be issued. The NAICS is 561599 and the Small Business Size Standard is $20.5 million. This requirement is 100% Small Business Set-Aside. INTRODUCTION: The purpose of this project is to procure hotel conference space and audio-visual support for the OFO Field Management Conference March 5 - 9, 2018. Preferred location is Loudoun County Virginia which is close proximity to an International airport, (within 15 miles), cost effective, low - minimum costs for taxi fares or shuttle to and from airport. 150-160 attendees from 10 Regional and 68 District Offices. "The entity bidding must own the facility where the proposed conference meeting is to take place." Self-contained learning environment with lodging, meeting space and daily meals. Requirements: Clin 0001 Conference Center Room and Breakout Rooms - Requirements: Main Room for up to 150 attendees 1.Class Room style setup with 6X18 tables or equivalent in two rows with a middle aisle traffic flow - tables must look professional and be appropriately dressed (table clothed). 2.Podium (1) Stage (1) to accommodate a panel of 4 speakers facing audience using 6x18 tables. Hotel must be able to remove panel table when not in use or in demand, i.e., when Administrator or other Officers are speaking. a.STAGE must be elevated and sit higher than seating level above audience members. 3.Podium A/V must have (1) microphone for speaker. 4.Must have internet cable for podium laptop with Wi-Fi as an option for the ballroom speaker/presenter. 5.When Panel discussion takes place table, panel members must have two (2) microphones A/V on table(s). 6.Audience must have accessibility to two (2) wireless microphones to ask questions at all times and be placed in the middle aisle on stand. 7.Main conference water station. 8.4 break out rooms that sit 25 to 40 (ROUND TABLES) - not classroom style. Clin 0002 Audio Visual - Requirements: 1.SBA will provide laptop for podium speakers who must have the ability to plug in a laptop to display/audio visual projection of Microsoft PowerPoint or other Microsoft Word, PowerPoint. The technician must control and interface these devices with projection screen and other A/V equipment. Additional A/V requirements include A/V equipment must be able to play a video and project volume Projection Screen(s). Projection Screen must be available to all audience members. 2.Onsite technician to maintain equipment and work with SBA staff throughout conference (all day), and be responsible for setup, maintenance, and answer questions. Technician must maintain all a/v equipment and be responsible to SBA Leadership and follow instructions. CLIN 0003 Use of WIFI by attendees throughout the facility: 1.Set-Up of all rooms and A/V for dry run shall be available the night before the walk-thru by SBA COR and Staff (NLT 6:00 PM). The provision at 52.212-1, Instructions to Offerors-Commercial, applies to this acquisition. The provision at 52.212-2, Evaluation-Commercial Items, is applicable, and the specific evaluation criteria will be price only, after technically acceptability is determined based on meeting the requirements as listed on the attached Statement of Work. Offerors are advised to include a completed copy of the provision at 52.212-3, Offeror Representations and Certifications-Commercial Items, with its offer. Clauses 52.212-4, Contract Terms and Conditions-Commercial Items and 52.212-5, Contract Terms and Conditions Required To Implement Statutes or Executive Orders-Commercial Items, applies to this acquisition.
