Description
Personal Assistant Level: Entry/Basic Personal Assistant Normal Duty hours are: 10:00-3:00pm Hours: 12 hours throughout the weekend (hours may vary depending on employee work schedule) Dates Requested: August 12th to August 25th Daily duties may include but are not limited to: estimated 10 hours per day • Assist a blind colleague with transportation to and from the office, to and from meeting and field activities within the designated counties in the disaster declaration. • Provide clear and concise notes for employee who is blind during meetings, field activities, conference calls and other specific duties as assigned. Notes are to be transcribed into digital format for employee in a timely manner. • Provides assistance to employee who is blind in navigating through unfamiliar, inaccessible physical urban and other environments on a regular and frequent basis, including areas that pose potentially serious personal risks. Examples include intra and intercity/state travel to meetings in a densely populated geographic area and in areas impacted by a federally declared disaster. • Provides assistance in the use of Microsoft programs including Power Point, Excel, and Adobe. • Provides all necessary telephonic and electronic support and assistance to the employee during deployment in all offices and field locations the employee needs to be in to complete the function of their job. • Assists, as appropriate and necessary, in the completion or preparation of documents or other tasks where there are tight deadlines and where multitasking via JAWS cannot go fast enough to complete tasks on time. • Navigates, as necessary, internal facility physical layouts to reach people in a timely manner. • Reads printed materials and reads/describes visual presentations (e.g. PP) at meetings/functions and reading to groups/individuals all visual material (including PP) during presentations made by employee. • Arranges and sets up in concert with IT, as necessary, any adaptive or other technology that may be needed for briefings, trainings, or other dissemination efforts to audiences of all sizes. • Assists with safe evacuation from any facility during an emergency. • Scopes out in advance and describing meeting room and restroom layouts. Providing orientation guidance in a crowded or confusing space, and facilitates efficient movement through congested, crowded surroundings. Weekend duties may include but are not limited to: estimated 18 hours per weekend • Assist individual who is blind in obtaining daily meals to include grocery shopping, restaurants, food delivery, etc. • Providing visual assistance in laundry facilities and/or laundry mat. Employee will do own laundry, but needs visual assistance with equipment. • Assist with shopping for essential equipment, electronic accessories and other personal necessities Other duties/Information: • Awardee will be required to provide a vehicle (with insurance) that will comfortable seat 4 adults. • Make arrangements with the airline and airport security to meet the individual at the gate and accompany the individual back to the gate and assist in boarding • Be bilingual (English/Spanish) • Be very familiar with the island of Puerto Rico and its road system • Individual requiring assistance will be staying at a local hotel in the San Juan Area • Be Responsible for all cost for vehicle parking if necessary • Keep a log of all hours • Submit a proposal with a billing rate per hour (total hours are estimated to be 130 hours total) Other Information: • Under the Stafford Act preference will be given to a vendor located within the Disaster Area • The is a Small Business set-aside • Proposal should include all cost associated with meeting the requirement • Other cost (if necessary) must be broken out - e.g. travel, per diem, lodging in the proposal
