- This is a combined Synopsis/Solicitation. Proposals must be submitted to�jthomasson@cns.gov and frivera@cns.gov.� Office of Regional Operations All-Staff Meeting Statement of Need, Purpose, and/or Objective The purpose of this Requirement is a five (5) day contract. Work will be performed on-site (Monday � Thursday 9:00 a.m. � 5:00 p.m., Friday 9:00 a.m. � 12:00 p.m. EST). The dates are May 16-20, 2022. The dates are not flexible. The hotel rooms are not paid for but set aside for attendees. Attendees will reserve their rooms and pay for their rooms with per diem. The purpose is for an ORO all-staff staff meeting with breakout trainings. Live streaming or recordings may be available for those who are not able to attend. To successfully complete this event, ORO HQ requires a hotel with 170 rooms blocked for reservation (1 guest per room), a meeting space that holds 200 people, three break out rooms that can hold at least 32 people, and A/V equipment. Meeting attendees will use per diem for the hotel rooms and all meals and snacks. Specifications Period of Requirement Dates: May 16-20, 2022. The dates are not flexible. Monday � Thursday 9:00 a.m. � 5:00 p.m., Friday 9:00 a.m. � 12:00 p.m. EST Location of Requirement One Hotel in the Washington DC area, with preference given to locations within a 2-mile radius of AmeriCorps Headquarters (Qualifiers: 5 miles; within 0.5 miles of a Washington Area Transit Authority Metro Station.) 170 hotel rooms 1 large meeting room capable of accommodating 200 people Minimum requirement: Three break out rooms for 5 days (three break out rooms that can hold at least 32 people, 2 of 3 break out rooms with A/V equipment capable of displaying PowerPoint Presentations, with one of those A/V equipment-capable rooms microphone-ready for the presenter) (see below) 1 guest per room, paid by attendees per diem. No hotel sleeping room costs are needed, but a block of 170 rooms must be set aside that attendees can reserve. � Meeting Space and Break Out Rooms Preferences for the hotel�s ability to demonstrate compliance with COVID-19 safety protocols. One large meeting space for 200 people for 5 days. Three breakout rooms for 5 days The three break out rooms must have the capacity of at least 32 people No catering is necessary; meeting attendees will use per diem Audio / Visual Requirements Projector and screens for up to 200 people in large meeting space Microphones for presenters to speak in large meeting space Option to record or livestream sessions in large meeting space only Projector and screens in the large break out room Three breakout rooms: One breakout room with the capacity of at least 32 people, should be capable of displaying PowerPoint presentations and provide a microphone for the presenter One breakout room with the capacity of at least 32 people should be capable of displaying PowerPoint presentations. A microphone in this breakout room is not required One breakout room with the capacity of at least 32 people does not require A/V Invoicing Invoicing must be submitted through the Invoice Processing Platform (IPP) system; the final invoice must be marked at �Final.� Invoice payments will be made based on deliverables that have been received and accepted. Deliverables Deliverables are not accepted as final until approved by the COR.� After ten business days of receipt, deliverables are considered final if they have not been formally rejected by the COR.� AmeriCorps will reject deliverables that do not meet the requirements of this Specifications Document.
