Responses to this Sources Sought must be in writing. The purpose of this Sources Sought Announcement is for market research, to make appropriate acquisition decisions, and to gain knowledge of potential qualified businesses capable of providing the following: - WEIGHT BEARING INVENTORY SYSTEM for the Wichita VA Medical Center *** See Statement of Work below for details *** The North American Industry Classification System (NAICS) Code for this Sources sought is 333997 SCALE AND BALANCE MANUFACTURING, with a size Standard of 500 Employees, and Product Service Code (PSC) of 6670. Point of Contact for this Sources Sought is: Emilio.ballentos@va.gov (913) 946 - 1981 Department of Veterans Affairs Network Contracting Office -15 3450 S. 4th Street Trafficway Leavenworth, KS. 66048.  STATEMENT OF WORK (SOW) WEIGHT BEARING INVENTORY SYSTEM INTRODUCTION Department of Veterans Affairs Robert J Dole VA Medical Center (RJD VAMC), Wichita, Kansas is seeking to install free standing inventory management storage with a weight-based inventory management system to ensure proper storage of medical and surgical products. SPECIFIC TASKS (ST): ST# 1: Provide and install free standing, weight-based inventory management system at the following locations (to include all bins, scales, desktop/laptop as required, and accessories, parts, labor, hardware, software and training. All debris and trash is to be removed once install and disassembly (see below) are complete): Robert J Dole VA Medical Center, 5500 E Kellogg Dr, Wichita, Kansas 67218 (17 SKUs) Salina, Kansas Outpatient Clinic, 1410 Iron, Suite 1, Salina, Kansas 67401 (267, 62, 329 SKUs) Hutchinson, Kansas Outpatient Clinic, 1625 E. 30th Ave, Hutchinson, Kansas 67502 (245, 61, 306 SKUs) RJD VAMC Eye Clinic, 931 S Glendale St, Wichita, Kansas 67218 (117 SKUs) ST# 2: The weight-based inventory management system shall produce an accurate real-time reading of quantities on-hand accessible by web-based program and provide data mining capabilities that shall include at a minimum the following: Current stock levels Recommended order points Average usage levels per item Verify any out of balance on hand quantities and values Accounting for any due out or due ins The functionality minimal requirements are listed below: Must be weight based Easily calibrated and accurate Provide real time visibility to secondary inventory locations Must interface with GIP package in IFCAP and any future EHRM system installed by VA (DMLLS, Cerner) Must be capable of tracking, adjusting, and reporting comprehensive real time information pertaining to the inventory at each location It is imperative that depletion of stock triggers pick tickets based on Par levels, Reorder points, and Emergency Stock Levels Software needs to be intuitive and teachable Software needs to be able to utilize multiple users with different levels of permissions Software Reports must be relevant to APICS Principles of Inventory Management Must be able to handle a wide range of products based on size, thickness, and weight ST# 3: A minimum of two weeks training shall be provided onsite for an unlimited number of VA Wichita staff to attend. Installed equipment shall have a one-year full warranty for equipment commencing from date system is 100% accepted date from defects or damage not caused by VA personnel. Install does include disassembly of existing storage devices. Licensing One-year license agreement for use of Inventory Management System and related support, commencing from date system is 100% accepted. All future software upgrades of the installed program and software shall be made available. Web-based program shall be available on any computer and/or mobile device for reporting purposes and evaluation of inventory levels for an unlimited number of users. Performance and Deliverables All work must be performed by competent trained personnel who are experienced and qualified to work on the specific equipment. All work performed shall be accomplished in accordance with the manufacturer s instructions including, but not limited to, adjustments, calibrations, cleaning, lubrication, testing, disassembly, inspection, replacement of worn or defective parts, etc., required to keep the equipment in operating condition. Support 1 year of Support is included with installation. Support will include continuous monitoring by means of a minimum of four remote checks of equipment functionality by Contractor personnel every 24 hours. Notification and maintenance support from Contractor personnel in the event of a problem with equipment or software. Contractor personnel shall respond to service calls no later than 24 hours after being notified of a problem with either equipment or installed software. Equipment and related hardware shall be replaced within 48 hours of notification of a problem if user is not at fault for damage or defect. Must have available services and support, which will be established separately after the 1st year has expired. Deliver to: Robert J.
