Description
The 502d Contracing Squardron (CONS) at Joint Base San Antonio (JBSA), TX is issuing this Sources Sought for a follow-up Clincial Pastoral Education (CPE) Assistant contract. Projected Contractor shall supply all necessary equipment and labor required to perform the required non-personal services. Specific Tasks.�All services rendered shall be in accordance with ""The Standards of The Association for Clinical Pastoral Education"" (ACPE), in its entirety. The CPEA shall perform the following tasks: Maintain correspondence, files, resident records, phone/e-mail lists and rosters. Answer telephone calls, emails, and other correspondence in a timely, professional and courteous manner. Daft and process required forms, presentations, certificates, bulletins, directories and calendars. Maintain Outlook calendars for CPE Program, residents and staff. Manage monthly on-call duty calendars/schedules, maintain and update CPE Resident Handbook. Prepare student unit reports, in-processing packages, track clinical hours, input Defense Medical Human Resource System internet (DMHRSi) hours and assist with orientation set-up. Schedule rooms for CPE related meetings and events. Prepare agendas AND craft invitations for participants. Attend meetings, type minutes and send minutes to designated participants as required.�� Assist with annual application process and in-processing for incoming residents. Maintain all applicant packages and correspondence. Prepare and distribute screening committee documents. Prepare and submit purchase requests (AF Form 9), request for pay letters, itineraries, memorandums, car rental justification letters, materials for consultation sessions and other documents required for guest lecturers. Work closely with contract office to arrange transportation and lodging for guest lecturers. Follow up on all purchase requests. Track/budget expenditures and maintain inventory of CPE supplies. Coordinate with site team for annual accreditation visits and other inspections. Arrange lodging, attain passes and submit required paperwork. Prepare binders and records for accreditation reviews and other inspections. Maintain equipment and complete/process work orders for repairs as required. Register meeting/workshop attendees and maintain up to date attendee rosters. Assist with workshops, tours, and video teleconferences. Plan, organize, and execute preparations for graduation: chapel, rooms for reception, photographer, food, RSVPs/invitations, seating list, VIP lists, VIP parking, musicians, and bulletins. Assist in administration of resident exit interviews annually. Coordinate with the Brooke Army Medical Center Department of Ministry and Pastoral Care to accomplish CPE mission requirements. Maintain a CPE Administrative Support Continuity binder. Participate in staff trainings and meetings activities that will help facilitate continuity among staff members and chapel programs. Provide administrative support for the CPE Liaison and Educator as needed. Minimum Qualifications: Hgh school diploma or equivalent. Proficient with Microsoft (MS) Office suite which includes but not limited to: MS PowerPoint, MS Excel, and MS Word. Knowledge of various microcomputer equipment with the ability to input, retrieve and format data. Effective communication skills, both orally and in writing, to deliver, receive, and understand messages clearly and successfully. Capability to research operational activities requiring coordination with multiple functional organizations within the Air Force as well as other civilian and federal agencies. Additionally, the contractor requirements include walking, standing, sedentary/sitting or bending. CP must be able to carry 25-50 pounds and reach high shelving units with the assistance of step ladders, as needed, to retrieve and file records. While working in the Military Treatment Facility, the CP�s preferred dress code is business casual attire. The security classification level for this effort is UNCLASSIFIED. 1. Information provided to the Government as a result of this posting is strictly voluntary, with no expectation of compensation and clearly provided at no cost to the Government. 5. Respondents will not be notified of the results of the information provided; however, the Contracting Officier will utlize the information for techincal and acquisition planning. All proprietary information not to be disseminated in Government documents must be clearly identified.
