for National and Community Service, a wholly-owned Government
Corporation, intends to award a contract to a qualified vendor who can
provide lodging, food, and meeting space for an AmeriCorps*VISTA Early
Service Training. This event will take place in the greater Oklahoma
City, OK area August 31-September 3, 1998. The requirements for this
event are as follows: Registration: Four (4) large, covered tables set
up in an assigned registration area or outside the main meeting room
(beginning at 8:00am on the opening day) and remaining until the
conference's conclusion. A message board should be set up and left in
the registration area throughout the conference. Sleeping rooms: 8/31-
9/2 110 doubles & 10 singles for each of three (3) nights. Meeting
Space: 8/31 -- 9/3 (7am -- 6:00pm): One (1) large meeting room (set up:
two (2) head tables with speaker's lectern/microphone, draped, four (4)
chairs; body of room to seat (crescent rounds of 8) for 220 attendees.
Up to eight (8) break-out rooms to seat 45 ea. (set-up: rounds of 8)
Meals: 8/31: Dinner for 220 at 6:00pm, 9/1: Breakfast to be served to
220 (7:30 -- 8:30am); Lunch for 220 (at 12 noon); 9/2 Dinner for 220
(at 6:00pm); Breakfast to be served to 220 (7:30 -- 8:30am); Lunch for
220 (at 12 noon); Dinner for 220 (at 6:00pm); 9/3: Breakfast to be
served to 220 (7:30 -- 8:30am); Lunch for 220 (at 12 noon).
Refreshments: To be served each morning and afternoon of the
conference. Morning break may consist of refreshing the coffee served
at breakfast; afternoon break should include cold drinks. Equipment: In
each meeting room, each day:1 flip chart on easel Miscellaneous: Please
identify any and all of the above services that will be made available
at no cost. For example: for a conference for nearly 220 attendees,
will the charge for meeting rooms, etc., be waived? Also, what number
of paid guest rooms qualify for additional guest rooms at no cost?
What, if any, are transportation costs to and from the airport? Special
Requirement: Federal regulations require that any hotel/conference
space contracted shall be ADA accessible for both meeting and guest
rooms. We expect that no more than four (4) guests will need
