in San Antonio, TX Meeting Space-April 5-8 All meeting facilities must
be contained within a single site complex that allows access to/from
and between lodging and meeting room without exiting the lodging room
for 175 students. All meeting rooms must be in close proximity of each
other. All must be free from support posts or other obstacles to
provide unobstructed views. Flipcharts and projection screens must be
available for all meeting rooms. The following specifications are
required: 1. an open-air reception are complete with cash bar for 250
people, not less than 2800 square feet starting at 2:00pm to 8:00pm to
April 5. 2. A general session room for at least 210 people school room
style, (2 participants per 6 foot tables-18" deep) having at least 5350
square feet and a minimum of 16 feet ceilings starting at 8:00 am.
April 6 and having a 4 hour hold. Room should be set with a stage. A
podium and table for 4 member panel should be on the stage. The front
corner of the room must include a 9x12 fastfold rear projection fabric
with draping, including skirting, wings, and valance peripherals. Room
should have two table microphones for the panel, one microphone for the
podium, and two wireless lavalier microphones. Audio Visual setup and
support must be available at all times during training event and at
least one hour prior and one hour after set schedule for the day. 3.
Two breakout rooms from 8:00 am April 6 to 5:00 pm April 8 with at
least 8' ceilings and a minimum of 570 square feet each for 30 people
each conference style. 4. Two breakout rooms from 8:00 am April 6 to
5:00 pm April 8 with at least 8' ceilings and a minimum of 620 square
feet each for 30 people each school room style. 5. One breakout room
from 8:00 am April 6 to 5:00 pm April 8 with at least 8' ceilings and
a minimum of 740 square feet each for 35 people each conference style.
6. Three breakout rooms from 8:00 am. April 6 to 5:00 pm April 7 with
at least 16' ceilings and a minimum of 1218 square feet each for 80
people each school room style. 7. Administrative Space shall be near
the training rooms; lockable; configured to operate a computer,
printer, fax machine and a small office copier; two large tables one
ergonomic chairs; four visitor chairs; telephone and two dedicated
incoming/outgoing telephone lines. Lodging Rooms 1. The facility must
have availablity of 175 lodging rooms April 5-9, 1999. The rooms must
be contained within a single site complex that allows access to/from
the meeting rooms on April 5-8 without exiting the facility. 2.
Facility must be located within two blocks of the Alamo Hall, which is
located within the Alamo proper. 3. Lodging room rate must be at or
below the per diem rate for lodging and must include all taxes. 4. 83%
of the rooms must be nonsmoking rooms. Rooms will be booked through a
central coordinator and paid by purchase order. Each guest room shall
have inside access only, no direct street access; have door with
peepholes for corridor viewing; electronic locks; indiviedual
controlled air conditioning/heating, desk and chair, color TV with
cable, guest choice services including; account review, video
messages,, and video check-out; telephone convenient outlets for
computer access; coffeepot; iron and ironing board; clock radio with
alarm; closets to accommodate clothing for stay; sufficient coat, dress
slacks, shirt, and skirt hangers; lighting to maintain bright room
appearance at all times. 5. Facility amenities to include off street
parking; full service restaurant; concierge; heated swimming pool and
jacuzzi; in-house exersie room equipped with both men and women's
locker rooms, treadmills, life cycles, stair climbers, stationary
bikes, weight resistant equipment, free weights staffed by cross
trainers during open hours; room designated for quests with
disabilities must be available. Facility must be near and with
