The Corporation for National and Community Service, a wholly owned Government Corporation, intends to award a contract to a qualified vendor who can provide lodging, food, meeting space for an AmeriCorps*VISTA Pre-Service and In-Service Leaders Training. This event will take place in the greater Washington, DC or Baltimore, MD area, June 9-16, 2000. The requirements for this event are as follows: Registration: Two (2) large covered tables set up in the assigned registration area or outside the main meeting room beginning at 11:30 am on June 11, 2000 and remaining until the conference conclusion. A message board should be set up and left in the registration area throughout the conference. Sleeping rooms: Eight (8) singles for June 9, 2000 (one night). Ten (10) singles for June 10-12, 2000 (three nights). Twenty (20) singles for June 13-14, 2000 (two nights). Ten (10) singles for June 15, 2000(one night). Sixty-five (65) doubles for June 11-14, 2000 (four nights). Meeting space: June 9,2000 One (1) room set horse shoe for twenty equipped with phone for twenty (20) attendees (12:00 pm-6:00pm) and remaining until the conference conclusion. June 11, 2000: One (1) room for sixty (60) attendees set theatre style (4:00pm 6:30pm) and one (1) room for seventy (70) attendees (4:00pm 6:30pm) with round tables of six. One (1) room for one hundred and fifty (150) attendees (7:00 pm-8:30pm) with round tables of eight to ten. June 12, 2000: One room for sixty (60) attendees (8:00 am- 6:30pm) set theatre style and a little table set up in front of room. Six (6) rooms (could also be suites) for fourteen (14) attendees with chairs set theatre style (8:30am 6:30pm). Two (2) rooms set for thirty-five to forty (35-40) attendees set of rounds of six (1:00pm 6:30pm). One room set for one hundred and fifty (150) attendees (6:30pm 8:00pm) with rounds of eight to ten. June 13, 2000: One room set for sixty (60) attendees set theatre style a small table at front of room (8:00 am 6:30pm) and six (6)rooms (could be suites) set for fourteen (14) attendees with chairs set theatre style(1:00pm 6:30pm). Six (6) rooms for twelve (12) attendees with rounds of six (8:00am 12:00pm) and one (1) room for seventy (70) attendees with round tables of six with a small table set in front of room (1:30pm 5:00pm). One room set for one hundred and fifty (150) attendees with rounds of eight to ten (6:30 pm-8:00pm). June 14, 2000: One (1) room for seventy (70) attendees with rounds of six, a small table set up in front of room, and six foot skirted table at front room set for panel (8:00 am 6:00 pm). One (1) room for sixty (60) attendees set theatre style (8:00am-6:00pm). Six (6) rooms (could be suites) for 14 attendees with chairs set theatre style (8:00am 6:00pm). One room for one hundred and fifty (150) attendees with rounds of eight (6:30pm-8:00pm). June 15, 2000: One room set for one hundred and fifty (150) attendees with rounds of eight (8:00am-2:00pm). Six rooms set for fourteen (14) attendees set with chairs set theatre style (8:00am-12:00pm). Meals: Full breakfast for one hundred and fifty (150) attendees from 6:30am-8:15 am on June 11-15, 2000. Deli lunch for one hundred and fifty (150) attendees on June 11, 2000 from 12:00pm-3:00pm. Lunch for one hundred and fifty (150) attendees June 12-14, 2000 from 12:00-1:00pm. Plated lunch for one hundred and fifty attendees (150) June 15, 2000 from 12:45-2:00pm. Dinner for one hundred and fifty (150) attendees on June 11, 2000 from 7:00pm-8:30pm. Dinner for one hundred and fifty (150) attendees on June 12 &14, 2000 from 6:30pm-8:00pm. Dinner for one hundred and fifty (150) attendees on June 13, 2000 from 6:30pm-9:00pm. Refreshments: To be served each morning and afternoon of the conference beginning on June 11-15, 2000. Morning break may consist of refreshing coffee and or tea and light snacks; afternoon breaks should include cold drinks and light snacks. Equipment: In meeting rooms each day one (1) flip chart on easel. One (1) projector and screen set for twenty (20) attendees on June 9-16, 2000. One (1) projector and screen in meeting rooms set for sixty (60) attendees and seventy (70) attendees from June 12-15, 2000. One (1) TV/VCR in main meeting room on June 15, 2000. Rental expenses for A/V equipment must be included in your proposal. Transportation: Shuttle Service available to and from National Airport, and or Dulles Airport, and or Baltimore-Washington Airport on June 11and June 15, 2000. Miscellaneous: In submitting a bid for these services, please quote a price/guest/day. Only sleeping room rental, meeting room rental, scheduled meal costs for these guests are included in this solicitation. Incidentals: All guests will pay personal expenses (telephone calls, room service, etc.) themselves. Corporation for National Service will advise attendees of this responsibility. Please identify any and all of the above services that will be made available at no cost. For example: for a conference for 100 attendees, will there be a charge for the meeting rooms, etc., be waived? What if any, are transportation costs to and from the airport? Special Requirements: At least 50% of the attendees at meals will be vegetarians and or vegans, meeting rooms and at least 25 % must be accessible to physically challenged individuals. Federal regulations require that any hotel/conference space contracted shall comply with the American Disabilities Act (ADA) requirements and the FEMA Fire Prevention and Control guidelines.
