- Description
- The Corporation for National Service, a wholly owned Government Corporation, intends to award a contract to qualified vendors, who can provide lodging, conference space, audiovisual equipment, and meals for the AmeriCorps*VISTA Leaders Training. This event will take place in Philadelphia, PA metropolitan area December 2-7, 2001. Registration:Three (3) large tables set up in the assigned registration area outside the main meeting room beginning at 12:00pm on December 2, 2001, and remaining until the conference conclusion. Sleeping Rooms: Five (5) doubles for December 1, 2001. Twenty-three (23) doubles for December 2-5, 2001. Twenty (20) doubles for December 6, 2001. Meeting Space: One office or suite for storage and meetings, December 2-7, 2001. One (1) general session set for eighty (80) participants with 7 rounds set horseshoe for six participants at each table from 9:00am to 5:00pm for December 2-7, 2001. Two rectangular tables for consultant materials at front of general session from December 2-7, 2001. Two (2) breakout rooms for thirty (30) participants set in rounds of six from 9:00am to 5:00pm for December 3rd, 4th, and 6th, 2001. Meals: Full breakfast for fifty-five (55) participants from 7:00am to 8:30am, December 3-7, 2001. Lunch for fifty-five (55) participants from 12:00pm to 1:00pm , December 3-7, 2001. Boxed lunches for 55 participants on December 5th and 7th, 2001. Dinner for fifty-five (55) participants from 5:30pm to 7:00pm, December 2-6, 2001. Refreshments: To be served each morning and afternoon of the training. Morning breaks may consist of refreshing coffee or tea; afternoon breaks should include coffee, tea, soft drinks, and light snacks. Menus must be included in your proposal. Audio Visual Equipment: One (1) easel at registration table December 2-7, 2001. Twelve (12) easels in general session December 2-7, 2001. Three (3) easels in both of the breakout rooms December 3rd, 4th, and 6th, 2001. One (1) overhead projector and one (1) screen in general session December 2-7, 2001. Two (2) overhead projectors and two (2) screens, one in both breakout rooms, December 3rd, 4th, and 6th, 2001. Two (2) microphones in general session, December 2-7, 2001. One (1) CD player and stereo in general session, December 2-7, 2001. One (1) TV/VCR in general session, December 3, 2001. Eight (8) laptop computers in general session, December 6, 2001. One printer in general session, December 6, 2001. Rental expenses for audiovisual equipment must be included in your proposal. Transportation: Shuttle services available to and from area airports and train stations December 2nd and 7th, 2001. Incidentals: Only sleeping room rental, meeting room rental, and scheduled meeting costs for these guests should be included in this solicitation. The guests will pay personal expenses (telephone calls, room service, etc.) themselves. Special requirements: Meeting rooms and at least 25% of sleeping rooms must be accessible to physically challenged individuals. At least 25 % of the attendees at meals will be vegetarians or vegans. Federal regulations require that any hotel/conference space contracted shall comply with the American Disabilities Act (ADA) requirements and the FEMA, Fire Prevention and Control guidelines. All proposed prices must be inclusive. For example: audio-visual rentals and the cost of food must include gratuity, if applicable. This announcement constitutes the only solicitation; proposals are being requested and a written solicitation will not be issued. The solicitation number is HQMWR0202 and is issued as a request for a quotation (RFQ). This solicitation document and the incorporated provisions and clauses are those in effect through Federal Acquisition Circular 97-27. The provisions at 52.212.1, Instructions to Offerors?Commerical, applies to this acquisition. Offeror must include a completed copy of the provision at 52.212-3, Offeror Representations and Certifications?Commercial Items with its offer. This is a best value procurement and evaluation of offers will be based on quality, past performance and price. References must be included with your offer. The clause 52.212-4, Contract Terms and Conditions?Commercial Items applies to this acquisition. The clause 52.212-5, Contract Terms and Conditions Required To Implement Statues or Executive Orders?Commercial Items applies to this acquisition. The following clauses listed in 52.212-5 (b) and (c) are included by reference: 52.222-21; 52.222-22; 52.222-23; 52.222-41; 52.225-3; and 52.232-34. These clauses can be found at www.arnet.gov/far/.
