Description

The U. S. Department of Commerce/NOAA/NOS/OCRM will host the March 2002 Ocean and Coastal Program Managers' Meeting to be held in Washington, D.C. March 10-14, 2002. OCRM has a requirement for a Conference Meeting Package that will accommodate approximately 300 attendees. Please note that guest room accommodations (approximately 30 persons on Saturday, March 9; 70 persons on Sunday, March 10; and 100 persons each on Monday, March 11, Tuesday, March 12 and Wednesday, March 13) will also be needed at the Federal Government per diem rate but will be handled directly by the attendees and not through this requirement. The selected hotel must provide a Conference Meeting Package that meets the following criteria: (1) Availability of meeting facilities March 10-14, 2002; (2) Located within the Metropolitan Washington D.C. Area with convenient access to Metro (i.e. within five blocks of a Metro station) and other public transportation; (3) Availability of meeting facilities that can be configured per specifications and have the capacity for: A. One (1) breakout room on Sunday, March 10 with capacity for approximately 30 persons; B. Two (2) breakout rooms on Monday, March 11 with capacity for approximately 30 persons and 55 persons; C. Plenary session Tuesday, March 12 (8:30 a.m.-10:00 a.m.) with theater seating for 300; D. Four (4) breakout rooms on Tuesday, March 12, three (3) with capacity for approximately 80 persons each and one (1) with capacity for approximately 25 persons (8:00 a.m.-5:00 p.m.); E. Lunch Tuesday, March 12 (12:00 p.m.-1:30 p.m.) for 300 persons seated at round tables; F. Plenary session Wednesday, March 13 (8:30 a.m.-10:00 a.m.) with theater seating for 425; G. Three (3) breakout rooms on Wednesday, March 13 with capacity for approximately 80 persons each (8:00 a.m.-5:00 p.m.); H. Lunch Wednesday, March 13 (12:00 p.m.-1:30 p.m.) for 300 persons seated at round tables; I. Three (3) breakout rooms on Thursday, March 14 with capacity for approximately 80 persons each (8:00 a.m.-1:00 p.m.); J. Possible separate exhibit space Tuesday, March 12-Thursday, March 14 for 25 tabletop exhibits, approximately 8 feet by 8 feet; (4) Provide a Convention Services Manager to assist in all aspects of planning the event; (5) Audio/Visual equipment (i.e. microphones, projectors, screens, flip charts, etc.); (6) Continental breakfast for 300 persons Tuesday, March 12-Thursday, March 14; A.M. coffee break for 300 persons Tuesday, March 12-Thursday, March 14; P.M. coffee break for 300 persons Tuesday, March 12-Wednesday, March 13; (7) Reception Tuesday night for 300 attendees from 7:00 p.m.-10:00 p.m.; (8) Separate, secure conference office space for speaker preparation (approximately 500 sq. ft), Monday, March 11-Thursday, March 14; (9)Registration area Tuesday, March 12-Thursday, March 14. Please note that proposed meal menus must be within the established government per diem rate. Interested vendors are invited to submit information as to their capabilities and any other pertinent data along with proposals to the address above for consideration or fax responses to (301) 713-0806 with responses to be received no later than seven (7) calendar days from the date of this notice.
